Overview
We are seeking a professional and friendly Legal Receptionist to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires excellent communication skills, a strong organizational mindset, and proficiency in handling phone systems and office software. This is anticipated to be a full-time position that requires a positive attitude and general knowledge of reception duties, as well as a chance to learn legal skills and industry. Part-time to be considered for the right candidate.
Responsibilities
- Greet and welcome clients and visitors in a warm and professional manner.
- Manage incoming calls, directing them to the appropriate personnel while maintaining excellent phone etiquette.
- Schedule appointments and maintain calendars for staff members.
- Communicating with potential new clients about their needs and forwarding them to the correct resource.
- Collecting, organizing, and distributing incoming and outgoing mail.
- Sending and managing conflict checks.
- Drafting new client Engagement Letters.
- Managing the reception email.
- Taking client payments.
- Scanning and filing documents as needed.
- Assisting Paralegals and Attorneys in completing various other special projects or assignments as requested
Qualifications
- Proven ability to effectively and efficiently work in an independent setting.
- Great customer service skills.
- Proficiency in using phone systems and office equipment.
- Must have exceptional attention to detail
- Strong computer literacy with experience in Microsoft Office Suite or similar applications (such as Microsoft Word, Excel, Adobe Acrobat, etc).
- Excellent organizational skills with the ability to manage multiple tasks efficiently.
- Strong time management skills to prioritize tasks effectively.
- Exceptional interpersonal skills with a focus on customer service.
- The ability to work with a group of people that is as diverse as the services we provide
- Ability to maintain confidentiality and handle sensitive information appropriately.
Employment Package
- Pay Range $18.50-20.50 an hour depending on experience
- Health insurance offered after three months of employment
- IRA offered after six months of employment
