Administrative Assistant
Black Hills Lignite is seeking an Administrative Assistant with experience assisting with office and administrative work items in a manufacturing environment. We're looking for a highly organized and proactive individual to support our team with day-to-day operations. The ideal candidate will manage schedules, handle correspondence, maintain office supplies, and assist with various administrative tasks. Strong communication, time management, and multitasking skills are essential.
This position is responsible for, but not limited to, order processing, inventory control, product coordination, timecards, basic human resource requirements and providing administrative support. This position will report directly to the Plant Manager but will have a dotted line connection to the Production Supervisor.
Essential Skills:
- Input inventory transactions, production reports and data entry, transfers and adjustments. Prepare purchase orders for purchase of parts and materials to ensure accuracy of charges.
- Assist with reconciliation of physical inventory to book inventory on a monthly basis.
- Coordinate orders from customer success department, professionally and accurately. Follow each order from placement to product delivery.
- Notify customer success department of any problems with orders or transportation issues and assist with needs as appropriate.
- Provide all paperwork necessary for shipping and receiving i.e. MSDS, labels, bills of lading, packing slips etc.
- Input production data to the company system on a daily basis and pull up weekly and monthly production and lab data.
- Operate basic office equipment such as fax, scanner, copier, printer, etc.
- Effectively and professionally deal with vendors, customers, outside consultants, truck drivers and be able to meet and direct them to appropriate personnel at the plant.
- Retains all training and regulatory paperwork as directed by the Plant Manager and corporate leadership. Provides current paperwork as requested by Black Hills Lignite personnel and various inspecting agencies.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and arranges and coordinates travel schedules and reservations at the direction of the Plant Manager.
- Orders and maintains supplies and arranges for office equipment maintenance.
Qualifications & Requirements:
- High School diploma and good verbal and written skills.
- Must have working knowledge of Microsoft Office Suite and the ability to interact with the web and learn new computer systems.
- Ability to creatively apply experience and common sense to a variety of situations, processes and people. Ability to manage multiple projects concurrently. Ability to recognize areas for improvement and motivate others to take action to correct problems.
- Ability to read, comprehend, and compose simple to complex instructions, correspondence, and memos.
