Overview
We are seeking a highly organized and proactive Receptionist/Administrative Assistant to join our team. This role is essential in providing administrative support and ensuring the smooth operation of our office. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently. This position requires a friendly demeanor and a professional attitude, as you will be the first point of contact for clients and visitors.
Duties
- Greet visitors and clients in a professional manner, providing assistance as needed.
- Manage incoming calls and emails, directing them to the appropriate personnel.
- Handle calendar management, including scheduling appointments, inspections, and meetings using Quickbooks Workforce
- Maintain organized filing systems for both physical and digital documents.
- Assist with data entry tasks to ensure accurate record-keeping.
- Support project planning by coordinating logistics and preparing materials.
- Utilize QuickBooks for basic financial record management as required.
- Prepare documents for electronic signatures using DocuSign.
- Provide personal assistant support to senior staff members as needed.
- Office cleaning as needed, supply inventory and stocking.
- Making bank deposits and general errands as needed.
- Other duties as assigned.
Requirements
- Proven experience in an administrative or receptionist role is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite
- Familiarity with QuickBooks.
- Experience with DocuSign or similar electronic signature platforms is desirable.
- Excellent verbal and written communication skills.
- Ability to work independently as well as part of a team.
- Attention to detail with a commitment to maintaining confidentiality.
- Certified Public Notary is not required, but an advantage.
Job Types: Full-time, Part-time
Pay: $18.00 - $24.00 per hour
Expected hours: 20 – 40 per week
