Black Tie Optional is a wedding planning and coordination company serving Phoenix, Arizona with occasional travel throughout the state and beyond. We specialize in creating elevated, unexpected events for desert-loving couples that are thoughtfully planned, brilliantly designed, and embrace the natural beauty of the Southwest.

We offer multiple options for couples at all phases of their wedding planning journey - Month-Of Coordination, Partial Planning, as well as Full Service wedding planning and Design.

Position Overview:

We’re looking for a self-starting, highly communicative and detail-oriented person who’s eager to grow with a scaling company. As a Wedding Planner (we call you "Event Managers") at Black Tie Optional, you will play a crucial role in planning and executing weddings and events, ensuring that each client's vision is brought to life seamlessly. You will begin by shadowing our experienced team to learn our unique processes and methodologies, and eventually, you will have the opportunity to manage your own book of clients.

Key Responsibilities:

  • Shadowing and Learning: Initially, work closely with senior event planners to understand the company's processes, procedures, and standards for delivering exceptional events.
  • Assisted Sales: At Black Tie Optional, building a strong connection between couples and their Event Manager is paramount. Following the initial discovery call, your role will involve facilitating and contributing to the successful closure of sales during the second touch point. You will play a crucial part in ensuring that couples feel confident and excited about choosing Black Tie Optional to plan their special day.
  • Client Relationship Management: Develop and maintain strong client relationships, becoming their primary point of contact throughout the planning process.
  • Event Planning and Coordination: Oversee all aspects of event planning, from concept development and budgeting to vendor selection, finalization, and day-of coordination.
  • Creative Input: Provide creative input and design suggestions to create unique and personalized events that exceed client expectations.
  • Vendor Management: Collaborate with vendors and suppliers to negotiate contracts, manage logistics, and ensure the highest quality of service.
  • Financial Management: Create and manage event budgets, ensuring that all expenses are tracked and controlled within the established financial parameters.
  • Timeline Management: Develop and maintain comprehensive event timelines to ensure that all tasks and deadlines are met pre-wedding-day, as well as all tasks and events run smoothly on the big day.
  • Problem-Solving: Proactively identify and address any challenges or issues that may arise during the planning and execution of events.
  • On-Site Coordination: Run the ceremony rehearsal and be present on the day of events to oversee set-up, manage the event flow, and handle any last-minute adjustments or emergencies.
  • Documentation: Maintain accurate records and documentation related to each event, including contracts, invoices, and client correspondence.

Qualifications:

  • Previous experience in event planning or coordination is a plus, but not required
  • Proficiency in Google Drive, Canva, and CRM softwares preferred
  • Must live in/near Phoenix, Arizona with your own form of reliable transportation
  • Flexibility to work evenings and weekends as required. Must work weekends
  • Must have your own equipment (computer and tablet) to efficiently and effectively perform your tasks

Details and Pay:

  • Start date: January 6th, 2025
  • Flexible work hours: expect 30-50 hours per week
  • In-person training in Phoenix will be required in order to learn the role
  • On-site training in and around Metro Phoenix on event days (weekends) is required
  • Administrative work can be completed remotely
  • Starting at $18/hour for 90 day training period, $19 per hour after

Pay: From $18.00 per hour

Expected hours: 30 – 50 per week
