What are the responsibilities and job description for the Executive Assistant position at Blackberry?
Blackberry is in search of an Executive Administrative Assistant with a detail focused mindset, and a passion for Hospitality. The Executive Administrative Assistant would support our President, and work closely with Blackberrys Marketing Department to provide assistance through scheduling, planning, communications, travel arrangements and oversight of the Blackberry Farm Foundation. The ideal candidate is a strong communicator through both written and verbal communication with excellent organizational skills and a passion for serving others. The Executive Administrative Assistant will perform a wide variety of confidential, administrative and special project functions as well as assist with personal administrative duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Maintain strict confidentiality on all company and personal matters
- Create and maintain filing systems
- Plan and coordinate all travel arrangements including transportation, lodging and meals
- Update and maintain the calendar and schedule
- Review, clean up, and maintain email correspondence and organization of Presidents email
- Maintain organization of the office and Executive Conference Room
- Attend senior level and board meetings in order to take minutes
- Obtain Blount County Notary Public certificate
- Support Marketing with administrative tasks, data entry, and facilitating marketing material approvals
- Administrate Blackberry Farm Foundation Charity & Grants and facilitate the Sam Beall Fellows Program
- Administrate Blackberry Farm, Blackberry Mountain and Strategic Plans for the future
- Administrate special projects and assist Presidents Direct Reports as needed
- Provide personal administrative duties for the President
- Code and scan all invoices to turn in to accounting
- Complete other duties as requested
Must comply with all company policies and procedures.
To perform the essential functions of this position regular and consistent attendance is required.
Must be able to work well with other Team Members, Managers and interact with our guests.
EDUCATION and/or EXPERIENCE
- College Graduate Preferred
- 3-5 years experience as an Executive Assistant to a President, CEO or Owner
COMPUTER SKILLS
- Must be excellent at Word and have a very good understanding of Microsoft Outlook, Excel and Access
- Must be capable of learning new computer software programs quickly
LANGUAGE SKILLS
- Must have excellent verbal and written communication skills
- Requires the ability to speak to others with poise, voice control, and confidence using correct English and well-modulated voice
- Requires the ability to write correspondence with correct grammar, spelling and tone of voice
- Requires the ability to understand and execute clerical principles and techniques
- Ability to understand departmental policies and procedures and to make independent judgments in absence of supervision
- Ability to learn basic techniques and functions of company systems in order to perform daily tasks efficiently
MATHEMATICAL SKILLS
- Basic knowledge and understanding of math
REASONING ABILITY
- Must be able to exercise judgment and make decisions based on job knowledge and awareness of company goals
PHYSICAL DEMANDS
- 80% of job is sitting while using computer
- Must be able to safely operate a company vehicle or golf cart
