Top-tier venture firm known for its portfolio of high-profile companies is looking for a strategic Executive Assistant to support one of their Partners leading healthcare initiatives. This is a great opportunity to join a collaborative, hard-working team along with 10 other EA’s. Provide admin support to the Partner to maximize his time as well as manage process improvement, event planning, and inbound communications. This is a primarily in-office role Monday through Thursday based near SoHo in NYC, with Friday’s work from home. 130-150K DOE carry, amazing health benefits, bonus, 401k with matching, flexible PTO, lunch stipend, annual team trips, and gym in the office!
Responsibilities:
- Serve as a strategic partner to the Executive.
- Expertly manage a busy calendar, proactively shifting meetings and blocking time to maximize productivity.
- Coordinate and arrange meetings with key internal and external stakeholders. Discern the importance of various meetings, and effectively allocate time to align with the Partner's goals.
- Manage inbound communications, flagging high-priority messages.
- Manage a heavy travel scheduling through arrangements and prepare detailed itineraries. Expertly plan trip logistics and provide solutions to ensure all necessary commitments can be executed during travel.
- Create efficient processes and systems to structure projects and tasks.
- Manage and optimize CRM to track, maintain, and organize data.
- Plan and organize events in partnership with the team.
- Manage expenses related to travel, events, or other activities.
- 4 years of experience as an Executive Assistant supporting senior leaders in a fast-paced environment.
- Exceptional communication skills both verbal and written.
- Proven ability to interact effectively with stakeholders at all organizational levels.
- Process-oriented mindset with a track record of creating efficient workflows and systems.
- Strong organization skills and detail-oriented.
- Self-motivated with a strong work ethic. You are reliable, flexible, and accountable.
- Demonstrate discretion, resourcefulness, and an ability to build relationships at all levels.
