High-growth SaaS company is looking for an Executive Assistant to the President who will also manage the GTM Executive Assistant team. As a partner to the President and reporting to the Chief of Staff, you'll masterfully optimize calendars, provide meeting support and preparation, facilitate communications with Board Members and the Executive Team, and ensure seamless operations while managing urgent matters with poise. Beyond executive support, you'll lead and manage a team of three Executive Assistants, fostering their growth and driving cross-functional collaboration. Someone who thrives in a rapidly evolving environment, consistently stays several steps ahead with strong communication and interpersonal skills to navigate complex dynamics across various executive personalities. Must have previous experience supporting a C-suite Executive and managing other admins. This is a hybrid role, Tuesdays required based in San Francisco with flexibility to be in the office as needed for events and meetings. 140-160K DOE equity, competitive benefits, 401k, flexible PTO, and catered meals on Tuesdays/Thursdays.
Responsibilities:
- Serve as a strategic partner and trusted advisor to the President, ensuring alignment between his schedule, company priorities, and key initiatives in partnership with the Chief of Staff.
- Manage and optimize the President’s calendar by analyzing scheduling patterns and recommending improvements for efficiency.
- Oversee and execute high-level administrative functions, including contact and document management, research, event preparation, and expense reporting.
- Coordinate complex travel arrangements and detailed itineraries, ensuring seamless logistics across time zones.
- Manage executive meeting preparation and follow-up, including creating materials, taking and distributing minutes, and tracking action items.
- Prioritize and manage all incoming correspondence and requests, ensuring urgent matters are handled promptly and confidential concerns are addressed with discretion.
- Act as liaison to the Board of Directors and Executive Team, scheduling meetings, facilitating communication, and ensuring alignment across departments.
- Support executive hiring and special projects as needed, providing high-level on-call assistance.
- Foster effective communication between the President and senior leadership, contributing to a collaborative and transparent working environment.
- 7 years of experience supporting a C-level executive, preferably within a high-growth startup or fast-paced SaaS/tech environment.
- Experience working closely with and managing or mentoring administrative staff.
- Proven ability to handle highly sensitive and confidential information with integrity and discretion.
- Strong organizational and time management skills, with the ability to manage multiple priorities under pressure and tight deadlines.
- Excellent interpersonal skills and emotional intelligence, with the ability to build trusted relationships across all levels of the organization.
- Adaptability and calm under pressure in a dynamic and evolving environment, with strong change management capabilities.
- Clear and proactive communicator who keeps stakeholders informed and provides thoughtful solutions.
- Tech-savvy and resourceful, with proficiency in Google Workspace, Microsoft Office Suite, Slack, and the ability to quickly adapt to new tools.

- Strong written and verbal communication skills.
