Venture firm in the healthcare and fintech sectors is looking for a Marketing Support Coordinator to join their Marketing & Communications team. This is an exciting opportunity to support a Partner while managing events and PR initiatives for a reputable firm! In this role, you will support events throughout the year, from intimate dinners to their flagship Summit, while developing media monitoring reports, maintaining venue relationships, and providing administrative support. You’ll work closely with the Marketing Partner to execute on initiatives while lightly supporting another Partner with scheduling and expenses. Previous experience in events or marketing, with a sociable, confident personality who will represent the firm professionally while managing the Partner’s fast-paced schedule. Excellent follow-through, ability to adapt to different communication styles, and can thrive in a blended traditional/dynamic environment. This is a hybrid role ~2 days/week (Mondays at their Stamford, CT office and Tuesdays in NY) with occasional evening event support and some travel required. 120-145K DOE discretionary bonus, benefits!
Responsibilities:
- Administrative support to the Marketing and Communications team.
- Provide scheduling, travel, and expense reporting for the Marketing Partner with some occasional personal support.
- Support events throughout the year (approx 25 annually), ranging from intimate dinners to large-scale events.
- Research and vet new venues and maintain a database of selected locations. Coordinate and liaise with venue staff for events, review initial contracts, and provide suggestions on the menu and other logistics.
- Track RSVPs and follow up with the internal team to drive event attendance.
- Support the development of event materials such as invites, place cards, and other signage.
- Provide on-site event support such as guest check-in and greeting.
- Assist with post-event follow-ups, including thank-you notes and gift coordination.
- Contribute to the coordination and execution of the firm's annual large-scale Summit, including travel arrangements, venue coordination, vendor communication, and overall project management.
- Draft daily media monitoring reports and media briefings for firm leadership.
- Maintain and update the firm’s media list on a monthly basis.
- Support the creation and inventory of branded merchandise and swag.
- Provide light scheduling and expense support for another Venture Partner.
Qualifications:
- 3 years of experience, ideally in administrative, events, marketing, or communications roles.
- Background or interest in communications, PR, or social media is a plus.
- Strong project management and event planning capabilities.
- Able to work effectively in both fast-paced, dynamic environments and more corporate settings.
- High EQ with the ability to flex between different communication and working styles.
- Demonstrated ambition and adaptability; open to supporting across functions and eager to grow.
- Confident, sociable, and customer-service oriented, with the presence to represent the firm at events.
- Strong organizational skills with proactive follow-up and accountability.
- Familiarity or willingness to learn tools such as Airtable.
- Willing to work occasional evenings for events and travel as needed.
