Fast-growing Series A AI startup is looking for an Office Manager to be the heartbeat of their new San Francisco HQ. This is an exceptional opportunity to join a focused, innovative, and experienced team that is scaling rapidly (from 30 to 60 employees by the end of this year)! You'll own all aspects of office operations - welcoming visitors, space planning, managing vendors, coordinating daily meals, planning events, assisting with recruiting, and fostering company culture. Working closely with and reporting to the EA to the CEO, you'll be integral in creating an environment that people love to work in while taking on special projects as the company grows. Someone proactive, detail-oriented, service-minded, and who thrives in a startup environment. This is an in-office role based in San Francisco with occasional evening hours required for events. 80-110K DOE equity, benefits, 401k, unlimited PTO, and lunch provided every day.
- Oversee and manage space planning, vendor relationships, maintenance requests, and overall office functionality of the new headquarters, creating a positive and welcoming space.
- As the face of the office, welcome visitors and candidates.
- Coordinate daily meal deliveries, assist with setup and clean up, while also maintaining kitchen supplies and ensuring snacks are well-stocked.
- Manage day-to-day operations, including vendor coordination (cleaning, maintenance, etc.) and office maintenance needs.
- Assist with onboarding processes for new employees, including workstation setup, IT coordination, I-9 processing, etc.
- Help with recruiting coordination to coordinate interviews and travel for candidates as needed.
- Support a collaborative and respectful office culture by modeling and encouraging proactive, team-oriented behaviors.
- Organize team-building activities, internal events, birthday and anniversary celebrations, and manage company swag.
- Lead logistics for in-office events, offsites, and monthly gatherings, including catering, rentals, and other operational needs.
- 2 years of experience as an Office Manager, Workplace Ops, or similar role, preferably in a startup or fast-paced environment.
- Strong interpersonal skills with the ability to read the room, bridge team dynamics, and foster a cohesive office culture.
- Proven ability to multitask, prioritize effectively, and execute under limited structure or direction.
- Eager to take initiative and own flex projects beyond typical office management responsibilities.
- Resourceful, curious, and proactive in identifying and solving problems independently.
- Tech-savvy, with proficiency in GSuite and familiarity with AI tools.
