Job Summary: The Medical Management Administrative Assistant will assist in all areas of the Medical Management Department to obtain the common goal of improving the Quality of Care within Blue Cross Blue Shield of Louisiana.
Essential Duties & Responsibilities:
- Persistently check the main fax lines and distribute each fax accordingly into the workflow or in an email
- Researches Acuity and/or Vnet to determine if incoming requests are duplications of existing authorizations or new requests, forwarding misrouted requests to the appropriate departments, and initiating workflow to the appropriate persons within the department
- Appropriate labeling and identifying time/date of receipt of authorization requests along with the processing priority (standard or expedited) for each incoming request
- Monitor all documents in the workflow to ensure that everything has been properly routed including pharmacy faxes
- Monitor all nurses that are supposed to be in the workflow to ensure that everything has been properly routed and monitor all requests received through email
- Manage all Medical Management letters
- Assign and distribute emails containing photos and hard-copy photos
- Scan documents
Marginal Duties:
- Mail and fax routing and distribution for the Medical Management Department including physical and electronic documents, utilizing the Workflow module in VNet
- Maintenance of the Workflow module in regard to nurse activity and routing functions for all clinical departments
- Quality review of all letters generated through the Acuity system regarding authorizations for Commercial and Medicare
- Complete the mail process and deliver timely to the mailroom
- Prepare and batch all physical documentation received and/or utilized in the Medical Management Department for loading into the OnBase system
- Other duties as assigned
Knowledge, Skills, and Abilities:
- High School Diploma is required.
- Associate Degree is preferred.
- Ability to work with supervision and follow established policies and procedures
- Exceptional interpersonal, verbal, and written communication skills
- Customer service-oriented attitude/behavior
Supervisory Responsibilities:
- None
Supervision Received:
- Works under direct supervision of the Medical Management Outpatient Coordinators and the general supervision of the Director of Medical Management.
Working Conditions:
- Overtime and rotating holidays may be occasionally required
