What are the responsibilities and job description for the Receptionist/Administrative Assistant position at Blue Sky Behavior Therapy?
Responsibilities:
· Maintain positive and professional staff and client relationships; welcome and greet clients and office guests. Provide general support to clients and client families
· Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages. Provide information by answering questions and requests for callers or clients and client families
· Manage communication of information in and out of the office; type out correspondence letters, emails, memos, faxes, forms etc. (paper and electronic); prepare outgoing mail and packages
· Maintain contacts and waitlists and scheduling
· Manage updates to the website and social media as directed by supervisors
· Handle client information in a confidential manner
· Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
· Maintain supplies inventory by checking inventory levels; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
· Carry out administrative duties such as filing, typing, copying, laminating, scanning etc.
· Maintain computer and manual filing systems
· Coordinate office procedures; Develop and update administrative systems to make them more efficient
· Other duties as assigned
Requirements:
· Knowledge of office management systems and procedures
· Excellent time management skills and ability to multitask and prioritize work
· Attention to detail and problem solving skills
· Excellent written and verbal communication skills
· Strong organizational and planning skills
· Use of MS Office
· Ability to handle multiple projects
Job Type: Full-time
Pay: $9.00 - $11.00 per hour
