Customer Experience Representative – Financial Planning
Position Overview
We are seeking a highly motivated and client-focused Customer Experience Representative to join our financial planning team. This role is responsible for ensuring an exceptional client experience by proactively coordinating review meetings, facilitating communication between advisors and clients, and providing operational support. The ideal candidate is detail-oriented, organized, and passionate about delivering outstanding service to high-net-worth individuals and families.
Key Responsibilities
Client Meeting Coordination & Support
- Proactively schedule and coordinate regular client review meetings to ensure engagement and financial plan alignment.
- Prepare and distribute meeting agendas, reports, and relevant financial documents prior to each client meeting.
- Follow up on action items from client meetings, ensuring timely resolution and execution.
- Serve as the primary point of contact for clients regarding meeting logistics, scheduling preferences, and follow-ups.
Client Experience & Relationship Management
- Enhance the client experience by delivering personalized service and ensuring all touchpoints are seamless and proactive.
- Maintain accurate client records and preferences in CRM systems to anticipate needs and provide tailored support.
- Identify opportunities to strengthen client relationships through timely follow-ups and value-added services.
- Address client inquiries with professionalism and urgency, escalating complex issues to advisors as necessary.
Operational & Administrative Support
- Collaborate with advisors and team members to optimize scheduling efficiency and workflow.
- Ensure compliance with firm policies, procedures, and regulatory requirements in all client interactions.
- Assist with special projects, events, and initiatives that enhance client engagement and firm growth.
- Monitor client satisfaction and provide feedback to improve service delivery.
Qualifications & Skills
- Experience: 2 years in client service, financial services, financial planning, or a similar industry.
- Education: Bachelor’s degree in business, finance, communications, or a related field preferred.
- Skills:
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in CRM systems, Microsoft Office Suite, and scheduling tools.
- Detail-oriented with the ability to manage multiple tasks in a fast-paced environment.
- Ability to handle sensitive information with discretion and professionalism.
