Position Summary
We are seeking a highly organized and proactive Office Manager to oversee the administrative functions of our office and support the Executive team as needed. The ideal candidate will ensure smooth daily operations, maintain office supplies, and create a professional and welcoming workspace. This role involves handling project documentation, correspondence, and logistics coordination to support business operations effectively.
Essential Job Functions
- Perform general administrative duties including filing, photocopying, scheduling, ordering supplies, and maintaining database records.
- Communicate professionally via phone, email, TEAMS, and mail.
- Provide information and support to staff by answering inquiries and handling requests.
- Maintain office cleanliness, including vacuuming, washing dishes, and managing waste disposal.
- Ensure front desk coverage daily and coordinate office activities such as staff gatherings, retreats, and wellness programs.
- Manage visitor coordination, travel logistics, and accommodation arrangements for Executives.
- Evaluate and implement office culture and efficiency improvements.
- Oversee office equipment maintenance and repairs.
- Manage company vehicle maintenance, including oil changes and repairs.
- Maintain and organize office files for easy access.
- Sort and distribute incoming and outgoing mail and shipments.
- Provide clerical support for Executives, including document preparation and scheduling.
- Organize and set up internal meetings, ensuring proper equipment and space setup.

Required Qualifications
- High School Diploma or equivalent.
- 1-2 years of administrative support experience, preferably in the housing or construction industry.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and TEAMS.
- Knowledge of administrative procedures, including word processing and file management.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Ability to type at least 60 words per minute.
- Ability to lift and carry up to 50 lbs.
Working Conditions & Environment
- Work is performed in an office setting with frequent public contact and interruptions.
- Requires sitting or standing for prolonged periods.
- Occasional bending, kneeling, or lifting may be required.
- Must have normal vision and hearing (with or without correction).
- Daily travel required for office-related errands and meetings.
