We are seeking a detail-oriented and experienced Payroll Specialist to oversee and process complex payroll activities in a timely and accurate manner. This role will ensure compliance with all federal, state, provincial and local payroll regulations while continuously identifying opportunities for process improvements. Job Summary:
We are seeking a detail-oriented and experienced Payroll Specialist to oversee and process complex payroll activities in a timely and accurate manner. This role will ensure compliance with all federal, state, provincial and local payroll regulations while continuously identifying opportunities for process improvements. The ideal candidate is analytical, discreet with sensitive information, and has strong knowledge of payroll systems and practices.
Key Responsibilities
- Process end-to-end payroll for multi-state and/or international employees on a bi-weekly/semi-monthly basis
- Review and audit payroll data for accuracy (e.g., hours worked, time-off requests, deductions, bonuses, commissions)
- Ensure compliance with applicable tax regulations and labor laws
- Prepare and file payroll tax reports and year-end documents (W-2s, T4s, etc.)
- Resolve payroll discrepancies and respond to employee inquiries in a timely manner
- Maintain and update payroll records in accordance with data retention policies
- Assist with audits (internal, external, tax-related) by providing necessary documentation and insights
- Collaborate with HR and Finance teams on benefits, compensation, and accounting integrations
- Identify and recommend improvements to payroll processes and systems
- Bachelor’s degree in Accounting, Finance, Human Resources, or related field (or equivalent experience)
- 5 years of payroll processing experience; multi-state and/or global payroll preferred
- Proficiency in payroll software (e.g., Dayforce, ADP WorkForceNow, etc.)
- Strong understanding of payroll laws, tax regulations, and compliance practices
- High level of accuracy and attention to detail
- Excellent communication, organizational, and problem-solving skills
- Ability to maintain confidentiality and handle sensitive information
- CPP (Certified Payroll Professional) certification a plus
- Familiarity with HRIS and ERP systems
- Knowledge of Canadian ROE, or other international payroll practices
