CLOSES: Until FilledJOB TITLE: Human Resource AssistantREPORTS TO: Director of Human ResourcesDEPT. / SCHOOL: Human Resource Department/ Central Office / BaytownWAGE / HOUR STATUS / TERMS: Non-Exempt/Full Time/12 months PRIMARY PURPOSE: Receives, processes, and maintains files and records for applicants and employees of the district. Monitors access to human resource (HR) records and maintains proper security and confidentiality. Provide clerical support to the director of human resources and other administrative staff members.
QUALIFICATIONSEducation: High School Diploma or GED Special Knowledge/Skills/Ability: Maintains confidentialityProficiency in keyboarding and file maintenance Ability to use software to develop spreadsheets, databases, and do word processing Spelling, concepts of grammar, word processing/typingExceptional interpersonal and communication (oral and written) skillsDetailed-oriented and working with detailed information/dataAbility to read, speak, and understand EnglishAbility to perform basic mathematicsMulti-tasked orientedAdapting to changing work prioritiesCommunication with diverse groups and individualsWorking as part of a team Language Skills: o Bilingual (English/Spanish fluency) preferred. o Able to communicate with faculty, staff, and administrators in a courteous and professional manner Experience: o One year of clerical office experience MAJOR RESPONSIBILITIES AND DUTIESMaintain files for all employees and applicants, including receiving and routing of changes (e.g., name, address changes).Receive and process applications, including verifying completeness of files and notifying those not selected for employment.Process requests for official district records, including maintaining log of records requests, retrieving documents, copying, and mailing records.Enter and update employee information in central database.Respond to requests for verification of employment.Prepare and maintain employee service records.Administer the records storage and destruction process of personnel records following established records retention schedule and requirements of the Texas State Library and Archives Commission.Assist with the purging of records and coordinate imaging of inactive HR records.Prepare correspondence, forms, manuals, schedules, and reports for the director of human resources and other department staff members.Prepare recruitment and new-hire packets.Process and receive criminal history record information, references, and other application materials.Assist with maintenance of information in employee database.Compile, maintain, and file all reports, records, and other documents as required including preparing various federal, state, and local reports.Assist with the preparation and distribution of employment contracts.Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.Prepare and distribute or post job vacancy announcements and advertisements.Assist with the preparation of staff directories.Monitor and process employee time records, including leave requests and reports.Maintain a schedule of appointments and assist with scheduling interviews and meetings.Make meeting arrangements for department activities including preparing materials, scheduling, and setting up facilities, and arranging equipment.Make travel arrangements for the department.Receive, sort, and distribute mail and other documents to department staff.Maintain confidentiality of information.Performs related duties in the human resources department as assigned by Human Resources Manager in accordance with district policies and practices.Follow district safety protocols and emergency procedures.Perform other duties if assigned.
