Job Summary
The Service Writer is the primary point of contact for customers, providing exceptional service and support while ensuring all services are accurately documented and communicated. You will also be responsible for creating detailed work orders for equipment repairs. With a strong understanding of heavy equipment repair processes, you will schedule service work, document diagnoses, and manage customer communications. Additionally, you will ensure that warranty work is clearly communicated, thoroughly documented by technicians, and submitted to the warranty manager in a timely manner.

Duties and Responsibilities
- Greet customers proactively and professionally and assess their service needs. As well as providing exceptional support over the phone or in person.
- Perform equipment walk around with customer, complete documentation of customer concerns to enable service writer and/or service technician to properly diagnose and service the equipment.
- Document customer concerns and equipment issues accurately in the service management system(CDK), ensuring each job is clearly segmented for optimal service delivery.
- Collaborate with service technicians to determine necessary repairs and maintenance services.
- Prepare detailed service estimates for customers, ensuring clarity and transparency in pricing.
- Communicate repair work order estimated charge and obtain customer’s written approval for work.
- Ensure all paperwork is completed accurately, including work orders, invoices, and customer records.
- Complete and submit warranty work orders, ensuring all necessary details are included, such as Complaint-Cause-Correction-Casual Part, SRT/FSR, component identifiers, and relevant pictures or printouts.
- Maintain communication with customers throughout the service process, providing updates on equipment status.
- Manage service appointments efficiently to optimize workflow in the shop.
- Provide guidance on equipment maintenance services, including hydraulic repair, suspension work, shocks/struts replacement, and engine repair.
- Stay informed about dealership policies, warranty policies, and diagnostics to provide accurate information to customers.
- Verify payment methods, check credit limit restrictions, and ensure compliance with COD requirements.
Qualifications
- Previous experience in a service writing or similar role within a dealership or repair shop is preferred.
- Excellent communication skills with a focus on customer service.
- Ability to work collaboratively with mechanics and technicians to ensure high-quality service delivery.
- Proficient in using service management software (CDK) for documentation and scheduling purposes.
- Detail-oriented with strong organizational skills to manage multiple tasks effectively.
- A background as a mechanic or service technician is a plus but not required.
