POSITION TITLE: Director of Finance and Administration
SUPERVISED BY: Director & CEO
GENERAL RESPONSIBILITIES
The Director of Finance and Administration manages the finance and administrative operations of the Museum. As a member of the Leadership Team, the Director of Finance and Administration works with the Director & CEO to create, implement and track progress on strategic priorities, return to mission, business objectives and sound fiscal management. The person in this position will have privileged access to the Museum’s inner workings and highly sensitive information.
SPECIFIC RESPONSIBILITIES
LEADERSHIP
· Works with the Director & CEO and the Leadership Team to create operational plans that are consistent with the strategic vision and plan; have achievable and measurable objectives; and are implemented on time and on budget
· Monitors implementation of plan and achievement of goals and objectives
· Is an excellent steward of the Museum’s resources and advises on strategic deployment of resources and cost-saving measures
· Fosters cross-departmental collaboration within the museum
· Other specific projects assigned by the Director & CEO
FINANCE
· Works with the Finance Committee of the Board of Trustees and the Director & CEO to create and implement strategy on financial policy, investments, and fiscal projections and translate broader strategic planning for the Museums into actionable financial plans
· Plans and oversee the multi-year budget process, appropriately allocating resources and ensuring sound fiscal administration.
· Manages the Finance Department
· Oversees relationship with auditors to maintain transparency and compliance.
· Oversees the Museum’s contracting process
ADMINISTRATION & OPERATIONS
· Works with the Leadership Team to create and implement tactical plans that ensure the effective operation of the Museum in keeping with appropriate standards of quality and excellence
· Manage Human Resources, Facilities, Security, Special Events, and Museum Store operations by working collaboratively with the team leaders to set goals, implement operational plans and keep the operation on mission and on budget. Management of these departments includes:
o Overseeing processes and decision-making regarding hiring, selection, promotion, termination, compensation, and performance management and review.
o Building relationships in support of the organization, engaging stakeholders inside and outside the Museum to gain broad support for ideas and initiatives.
o Ensuring cross-departmental coordination and collaboration for achieving strategic goals and operational objectives.
o Developing capital projects budget and projecting the impact on the cash needs of the Museum.
REQUIRED MINIMUM QUALIFICATIONS
· Minimum BA in Accounting, Finance, or Business Administration; MBA in Finance and/or CPA certification required
· At least 10 years of progressive and relevant managerial experience in a not-for-profit organization required; museum experience a plus
· Strong business and marketing acumen, with experience developing and implementing communications, financial and strategic operating plans
· Highly developed communication skills (written/verbal/visual); excellent interpersonal skills
· Ability to successfully navigate multiple priorities within a fast-paced environment
· Unquestionably ethics, integrity, and trust
· Proficient computer skills, including experience with CRM, Accounting, HR, and POS systems
· Must be able to work a flexible schedule of hours that will include some evenings and some weekends
· Team-oriented and courteous; must be able to encourage open discussion of different ideas and views, welcoming and soliciting input; a keen and empathetic listener
