Job Overview:
We are seeking an enthusiastic and organized Event Assistant to join our dynamic team. As an Event Assistant, you will support the planning and execution of a variety of events, including conferences, meetings, trade shows, weddings, corporate events, and other special occasions. Your role will be essential in ensuring the smooth operation of events, from preparation to post-event follow-up.
Key Responsibilities
Event Preparation:
- Assist in organizing event logistics, such as booking venues, coordinating vendors, and preparing materials.
- Help with the creation of event schedules, agendas, and guest lists.
- Provide administrative support to the event team, including correspondence, invitations, and confirmations.
On-Site Event Support:
- Assist with event setup, including decorations, signage, and equipment.
- Help manage registration and check-in processes for guests.
- Coordinate with vendors, caterers, and other staff to ensure the event runs smoothly.
- Provide customer service to guests and attendees, answering questions and assisting with requests.
Post-Event Tasks:
- Help with event breakdown and ensure all materials and equipment are accounted for.
- Assist with post-event follow-up, including surveys and thank-you notes.
- Maintain event documentation and assist with preparing reports or evaluations.
Administrative Support:
- Assist in maintaining event budgets and handling invoices.
- Organize and maintain event files, databases, and records.
- Perform other administrative duties as needed.
- High school diploma or equivalent (Bachelor's degree in Event Management, Hospitality, or related field preferred).
- Strong organizational skills and attention to detail.
