Job Summary :
The Payroll Manager will take full ownership of the payroll function, ensuring the accurate and timely processing of multi-state payrolls across multiple FEINs. This position requires an expert-level understanding of payroll compliance, multi-jurisdictional tax laws, and system functionality. The Payroll Manager will collaborate with HR, Finance, and leadership teams to maintain smooth payroll operations while implementing process improvements and adhering to company standards.
This position reports to the Payroll / HRIS Director. UKG (UltiPro) experience is preferred.
Essential Duties and Responsibilities :
- Oversee and execute accurate, compliant multi-state payroll processing for multiple FEINs.
- Manage garnishments, payroll adjustments, and discrepancy resolution.
- Own year-end payroll responsibilities, including W-2s, W-2Cs, and 1095s.
- Reconcile and prepare quarterly and annual payroll tax returns, addressing discrepancies with third-party vendors.
- Process and resolve tax notices with payroll / tax vendors.
- Ensure compliance with federal, state, and local payroll laws, including multi-jurisdictional reporting.
- Act as the subject matter expert for payroll and timekeeping systems, troubleshooting and implementing updates.
- Partner with HR and Finance teams to identify and implement process improvements.
- Monitor legislative changes affecting payroll, ensuring timely updates to processes and policies.
- Respond to employee and manager inquiries regarding payroll policies and discrepancies.
- Collaborate with HR to resolve benefits, unemployment, and other payroll-related concerns.
- Support audit preparation and financial reconciliations.
- Schedule payroll runs around holidays and potential conflicts.
- Maintain payroll records and files, ensuring confidentiality.
- Prepare payroll reports for internal stakeholders.
- Complete ad-hoc projects related to payroll and reporting as needed.
