SUMMARY:
Responsible for providing confidential administrative support to the Director of Business Services in the district's central administration office. Assists in the timely administration of the District's financial obligations related to accounts payable, including maintaining file records, preparing purchase orders, verifying invoices, processing checks and ACH payments and communicating wtih vendors to resolve billing disputes. Creates and maintains spreadsheets and databases using district information technology systems. Develops and promotes excellent customer service and support for school staff, vendors and visitors. Maintaining confidentiality and promoting the district's positive image at all times is extremely important. |
EDUCATION AND RELATED WORK EXPERIENCE:
- AA/AS Degree in Accounting or a related business field preferred, high school diploma or equivalent required.
Minimum of one (1) year of experience in accounting/accounts payable, banking or data entry.
Experience in secretarial work, computer skills, and customer service skills preferred.
- Satisfactory criminal background check required to hire.

Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, email, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Listed below are the essential tasks required for this job.

1. Responsible for processing of all purchase requisitions, purchase orders, phone orders, online orders, establishment and maintenance of charge accounts, etc. throughout the year. |
2. Timely input of data into the district accounting system. Timely review of and accurate payment of invoices. |
3. Maintain accounts payable vendor files and annual IRS 1099 processing. |
4. Prepare and provide monthly accounting information for the Board of Education. |
5. Work directly with district administrators and supervisors regarding coding and accounting procedures particular to their site and budget. |
6. Work directly with all district personnel regarding business office procedures (i.e. ordering procedure, travel reimbursements, availability of supplies, etc.) |
7. Interact with vendor representatives and district personnel to resolve problems and maintain ongoing business relations. |
8. Assist with employee registrations and reservations when requested. |
9. Order central office supplies and maintain central office equipment. |
10. Continue education regarding acounting and purchasing procedures to assist in the performance of school business duties. |
11. Sort and distribute accounts payable office mail and correspondence (electronic and paper) |
12. Assist with the annual financial statement audit. |
13. Maintain confidentiality and promote a positive image of the District at all times. |
14. Perform other duties as assigned. |
