POSITION: Records Manager
Booth Building
Non-Represented; Non-Exempt/Exempt (based on starting salary)
EFFECTIVE DATE: Immediately
SALARY: $72,364 - $85,946 (Based on the 2024-2025 salary schedule)
SCHEDULE: 8 hours per day, Monday through Friday
260-day work year
QUALIFICATIONS REQUIRED:
- AA degree, BA preferred, or a combination of related training, education or experience may be substituted for degree
- Minimum of three (3) years successful human resources or payroll experience
- Training or experience with public sector human resources procedures and functions
- Experience managing confidential records in human resources and/or payroll software systems
- Demonstrated ability to work independently and exercise sound judgment to organize, set priorities, and coordinate activities
- Demonstrated exceptional verbal and written communication skills
- Demonstrated experience handling employee problems, concerns and/or grievances and with sensitivity, tact, and professionalism
- Ability to work accurately and efficiently under pressure with frequent interruptions, while maintaining a positive and appropriate demeanor
- Ability to establish and maintain effective, positive working relationships with staff, and the public
- Demonstrated punctuality and an excellent work attendance record
- Experience in managing complex data and reports; basic mathematical and computational skills
- Demonstrated exceptional proficiency, speed, and accuracy in the use of software or database systems, including Excel and Word
The current concentration for this assignment is on classified records. The position will cross-train on certificated and administrative records.
QUALIFICATIONS DESIRED:
- Knowledge of or experience with Business Plus software
- Experience working in Washington public schools
- Bilingual in English/Spanish
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Support administrators in all facets of employee services functions
- Oversee and manage employee records, including job descriptions, salaries, work calendar, training records, audit compliance, and schedules
- Accurately calculate and enter employee pay assignments based on required information
- Assist employees in understanding their current pay assignment when needed
- Enter, update, and maintain employee pay and benefits records, including salary tables and pay assignments in Business Plus or other applicable software program
- Serve as department liaison to actively promote communication, planning, and cooperation; exercise judgment or refer matters to administrators as appropriate
- Compile data for use in collective bargaining, including comparisons of wages, benefits, and contract language; participate on the collective bargaining team for the district and maintain grievance files
- Maintain accurate and updated employee files
- Oversee staffing district-wide, including budget allocations, position control, and reclassification requests
- Prepare and maintain personnel action forms and corresponding reports and lists for new hires, transfers, and end-of-employment to ensure timely and accurate submittal of information for payroll
- Prepare staffing reports of personnel actions for Board meetings
- Prepare and submit information for district, state and federal reports as assigned, including the S-275, EEO-5, and reports to the Board of Directors
- Maintain accurate and updated staffing, seniority, incentive days, and other lists to ensure compliance with collective bargaining agreements and district policies
- Maintain a strong working knowledge of collective bargaining agreements and act as a resource for district employees, supervisors, and administrators
- Other related duties as assigned
EVALUATION:
- Performance of this job will be evaluated annually in accordance with provisions of the Board of Directors policy regarding evaluation of all employees.
