Overview
Under immediate supervision of Administrative Assistant I, performs a wide variety of routine and moderately complex tasks and duties which include providing excellent customer service in person and via email and telephone, receiving and processing payments, reimbursements and contributions, process and distribute purchase orders, clerical duties associated with administration, finance, parking and codes departments; learn policies, procedures and work methods associated with assigned duties; perform other duties as required.
Summary
- Handle incoming customer inquiries via phone, email, and in-person

- Resolve customer complaints and issues in a professional and timely manner
- Maintain accurate records of customer interactions and transactions
- Collaborate with other departments to ensure customer satisfaction

Qualifications/Skills & Knowledge Requirements
· Operate standard office equipment
· Type at a rate of at least 40 words per minute
· Proofread typed material
· Learn and use departmental computer systems
· Proficiency with Microsoft Outlook, Word and Excel
· Able to make mathematical calculations with high degree of accuracy
· Able to accurately maintain data and information
· Able to understand and follow both oral and written instructions
· Able to communicate clearly and concisely, both orally and in writing
· Establish and maintain effective work relationships
· Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.

Receive complaints and Right to Know requests and forwards them to appropriate personnel for response
Receive cash and negotiable instruments at counter for payment of bills, permits, licenses, tickets and other Borough receivables
Send all parcel mail, distribute incoming parcel mail to proper person/department
Data entry of all Borough receipts
Enter new vendors in financial software database
Assist with the Utility Service Certifications
Process purchase requisitions into purchase orders; distribute purchase orders to departments
Reconcile cash receipting to various sub-systems and departments monthly
Perform clerical duties for the Administrative, Finance, Codes and Parking Departments
Receive permit applications to be processed by the Codes Department
Contact applicant(s) when permit issued by the Code Enforcement department is ready to be issued for payment options
Answer primary inquiries regarding permitting process
Answer Borough parking inquiries by residents, visitors and business owners
Receive payment for parking tickets/parking permits; issue parking permits
Serve as back up to other positions as assigned
Maintain, sort and file related materials alphabetically, numerically or by other predetermined categories
Use computer to enter, prepare and proofread a variety of documents including general correspondence, reports, memos, and fliers; operates automated office equipment
Participate and complete special projects as assigned
File general correspondence
Perform other duties as assigned
Physical Requirements
This position works in an office setting, must be able to sit, stand, walk, reach for periods longer than 30 minutes
Push, pull or move objects weighing up to 10 pounds
Ability to see, read, print, and draw letters, numbers, words, characters, and symbols, both large and small
Ability to climb stairs or step ladders
Ability to hear normal conversations and communicate clearly, both orally and written
License/Certificate
Possession of a valid Pennsylvania driver’s license

Pay: $23.68 - $26.31 per hour
