What are the responsibilities and job description for the Borough Secretary/Receptionist/Event Hall Coordinator position at Borough of Yeadon?
This paid full-time position (expected 40 hours per week) works with Borough Administration to assist in the completion of critical tasks related to daily operations, code enforcement, public communication and Code enforcement.
Primary Responsibilities
1. Welcome visitors by greeting them, in person or on the telephone;
2. Answer, screen, and forward incoming calls, and answer or refer inquiries;
3. Perform basic duties of office administration; including but not limited to, data entry, answering phones, emailing, printing, mailing, filing documents, and maintaining office supplies;
4. Receiving and sorting mail daily;
5. Aid in the completion of paperwork and answer basic resident questions;
6. Reserve and prepare meeting space for Borough meetings;
7. Coordinate the online rental, usage, and maintenance of the Borough Banquet Hall;
8. Assist the Code Department by answering general questions regarding registrations, plan submittals, permit/license applications, and the collection of monies associated therewith;
9. Provide general clerical support and coverage for the Code Office Manager; Code Officers, and other Borough staff personnel as needed; and
10. Any legal duties and tasks as directed by borough management.
Required Knowledge, Skills, and Abilities
Proficient in basic math skills;
Strong computer skills in Microsoft applications;
Ability to learn new software;
Ability to use office equipment, such as computers, telephones, copiers, and calculators;
Ability to keep sensitive and privileged information confidential; and
Excellent interpersonal skills and ability to be courteous and respectful while dealing with the public.
Preferred Minimum Training and Experience
Associate’s Degree (preferred);
Excellent customer service and communications skills;
At least one year of experience working in municipal government and/or as a
secretary/receptionist.
Physical Demands
Lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Walking or standing is often necessary in carrying out job duties.
Working Conditions
Most work is done in an office environment.
Other Requirements
1. Submit all information necessary for a background check; including but not limited to, a child abuse clearance from the state of Pennsylvania;
2. Positive and self-motivated and needing minimum supervision to complete tasks.
