Job Description
This role requires minimum 3 days per week on-site at the Mount Prospect, Illinois location, 2 workdays may be remote. We are not offering relocation for this role.
The Sales Contract and Rebate Analyst is responsible for managing the life cycle of sales contracts, ensuring the proper storage, administering rebate programs for customers, and overseeing the transition to a new Contract Lifecycle Management (CLM) system. This role also involves running data analysis to ensure accurate contract management, tracking, and reporting on rebate calculations and program effectiveness.
Key Responsibilities:
- Sales Contract Management:
- Maintain and organize a comprehensive database of all sales contracts, organized, digitally stored, and easily accessible.
- Review, process, and track the execution of contracts, ensuring that all terms are adhered to by both the company and the customer.
- Ensure compliance with company policies and legal requirements in all sales contract documentation.
- Rebate Program Administration:
- Administer and manage customer rebate programs, ensuring that rebate structures and calculations are accurate and in line with contract terms.
- Process and calculate rebate payments based on sales performance, customer agreements, and predefined metrics.
- Monitor and track the financial impact of rebate programs to ensure compliance with budget and profitability goals.
- Data Analysis & Reporting:
- Run data analyses on sales contracts and rebate programs, generating regular reports on contract status, rebate performance, and program success.
- Ensure the accuracy and integrity of all contract and rebate-related data, providing actionable insights to management.
- Assist in the preparation of monthly, quarterly, and annual reports related to sales contract management and rebate program outcomes.
- Process Improvement:
- Identify inefficiencies or areas for improvement in contract management and rebate processes and recommend solutions.
- Help streamline contract documentation workflows and rebate calculation procedures to enhance accuracy and efficiency.
- Collaboration:
- Serve as a liaison between Sales, Finance, Legal, and other relevant departments to ensure smooth contract execution and rebate administration.
- Provide guidance to internal stakeholders regarding contract terms, rebate policies, and calculations.
- Contract Lifecycle Management (CLM) System Ownership:
- Manage the Contract Lifecycle Management (CLM) system.
- Oversee the migration of contracts from legacy systems such as PaperVision or DocuSign into the new platform.
- Maintain and manage contracts within the CLM system, ensuring data integrity, accessibility, and compliance.
- Collaborate with the IT and other departments to ensure smooth implementation and utilization of the CLM system.
Qualifications
- Bachelors Degree required, in business, Finance, Accounting, or a related field.
- Experience: 2 years of experience in contract management, sales operations, or financial analysis (preferably in a sales or rebate-focused role).
- Technical Skills: Strong proficiency in Microsoft Excel (advanced functions, pivot tables, etc.), and experience with contract management software or CRM systems.
- Certifications: Certification in Contract Management or a related field is a plus (e.g., CCCM or CPCM).
- Attention to Detail: Ability to ensure contract accuracy and rebate calculations are correct.
- Analytical Skills: Strong data analysis and reporting capabilities to track program performance.
- Communication & Collaboration: Excellent verbal and written communication skills for liaising with cross-functional teams and customers.
- Problem-Solving: Ability to address issues, analyze complex situations, and provide solutions.
- Time Management: Ability to manage multiple contracts and rebate programs while adhering to deadlines.
- System Transition Experience a plus: Ability to manage the transition from existing systems (e.g., PaperVision, DocuSign) to the new CLM system, ensuring smooth data migration and long-term maintenance.
Additional Information
The U.S. base salary range for this full-time position is $77,000 to $94,000. Within the range, individual pay is determined based on several factors, including, but not limited to, work experience and job knowledge, complexity of the role, job location, etc.
