Job Title: Practice Administrator

Department: Practice Management

Reports to: Director of Practice Management & Natick Site Director

Location: Natick, MA

Schedule: In Office (Mon-Thurs 10 AM - 6 PM) | Remote (Fri 10 AM - 6 PM) | 35 hours/week (1-hour unpaid lunch)

Salary: $26 - $30 per hour, based on experience

Looking for a dynamic administrative role in a collaborative mental health care setting? As a Practice Administrator, you’ll support patients and clinical staff (therapists, psychiatrists, neuropsychologists) by managing communication, scheduling, and administrative tasks that keep our center running smoothly. You’ll be the first point of contact for patients and clinicians, ensuring an organized and welcoming environment.

Key Responsibilities

  • Serve as the primary contact for patient and clinician communications via phone, email, and in-person interactions.
  • Manage scheduling for clinicians, including Medical Directors and Intensive Outpatient Programs.
  • Organize and maintain patient records, office paperwork, and administrative systems.
  • Handle office logistics: supply ordering, stocking essentials, and maintaining a clean and professional environment.
  • Support new employee onboarding and coordinate weekly office lunch orders.
  • Provide general administrative support, including document scanning, faxing, and scheduling.
  • Provide coverage/support for administrative team members as needed.

What We’re Looking For

  • 2 years of administrative experience (healthcare setting preferred).
  • Proficiency in Google Suite (Drive, Docs, Sheets, Gmail) and electronic medical records.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Reliable transportation and ability to work in-office Monday-Thursday.
  • Comfortable working with children, teens, and families.
  • Knowledge of HIPAA regulations is a plus.
