We are seeking a full time Administrative Assistant/Receptionist to join our Seattle team. Successful candidates will enjoy multi-tasking, customer service and have a strong attention to detail. Duties and Responsibilities:
Administrative
- General office administration: receptionist at front desk, process mail, shipping, receive packages
- Answer phones and route calls
- Serve as the administrative assistant to the principals, as needed
- Assist with expense reports and travel arrangements for the principals, as needed
- Interface with IT to ensure efficient and organized resolution to office-wide technology issues
- Misc. administrative duties, as assigned
Facilities
- Manage office materials and supplies (keeping track of stock, ordering, organizing, etc.)
- Maintain the copy room, kitchen, lounge, and conference rooms
- Assist with new employee workstation setup & preparing conference rooms for meetings
- Interface with building management to ensure maintenance needs are communicated and coordinated in a timely manner
Events
- Organize and coordinate the weekly Seattle office cocktail hour (food, drinks, etc.)
- Organize and coordinate after-hours office events such as project field trips, bowling, skiing, baseball, summer weekend at the lake, holiday dinner, anniversary party, etc.
Job Qualifications
Experience:
- Computer literate (intermediate computer/keyboard skills are a must)
- Work experience in customer service or as a receptionist or administrative assistant preferred
- Experience or interest in architectural, engineering, or professional service firms is desirable
Physical requirements needed to perform the essential functions of the job, with or without reasonable accommodation:
- Ability to operate a keyboard, mouse, phone and perform repetitive motion (keyboard); writing (notetaking); reading and analyzing written material
- Ability to sit for long periods; stand, sit, reach, bend, lift up to thirty (30) lbs.
- Ability to express or exchange ideas to impart information to the public and internal employees and to convey detailed instructions accurately and quickly.
The job involves frequent contact with teammates and the public. May occasionally be required to work irregular hours, based on the needs of the business.
The salary range for this non-exempt position is equivalent to an annual salary range between $46,000-$57,000, depending on experience. We also offer employees a flexible work environment and a full benefits package including (but not limited to) medical, dental, vision, and life insurance, a 401-k plan with an employer match, as well as paid vacation, sick, holiday and volunteer time.
