- Our community-centered organization is looking to add a full-time supportive, conscientious, and resourceful Admissions Manager. We are looking for someone who is committed to being a part of our community and supporting constructivist-based, Reggio-inspired learning for the children in their care. Our classrooms operate with teaching teams who are invested in working as a classroom community.
The Boulder JCC Early Childhood Center is designed to enhance the social, emotional, linguistic, cognitive, and physical development of each child. The school offers opportunities for exploration and discovery in a constructivist-based, educational environment. Each teacher strives to nourish children's innate sense of wonder, curiosity, imagination, and self-esteem.
The Admissions Manager reports to the Senior Director of the Early Childhood Center and is responsible for introducing families to the ECC; overseeing the admissions process; managing class sizes that meet required student/faculty ratios; managing student files, medications, and health forms; and serving as a resource and advocate for families, the ECC, and the broader JCC.

Skills/Qualifications Required
- Bachelor’s Degree
- Three or more years of relevant experience
- Strong knowledge and understanding of Early Childhood Education and Family Systems
- Ability to work independently and collaboratively
- Excellent interpersonal skills
- Excellent oral and written communication skills
- Ability to manage tasks, prioritize issues, execute work in an efficient and timely manner, and track and manage multiple work streams at once
- Strong knowledge of Google Drive applications (google doc, google sheets, google calendar), and lead management software
Essential Duties & Repsonsibilities
? Current and Prospective Family Outreach
Lead tours of the Early Childhood Center to prospective and registered families
o Respond to current, prospective, and visitor inquiries about the ECC in a timely manner
o In coordination with the ECC Admin Team, develop goals and strategies for retention of current families
o Understand re/enrollment potential within current ECC family group
o Plan target enrollment and identify areas of focus for prospective families
o Ensure information and child/family status accuracies across all databases (eg. spreadsheets)
? Family Relationship Management
o Follow up with leads as appropriate
o Maintain an understanding of ECC family priorities, through effective interactions and information gathering
o Serve as resource for questions; engage colleagues as needed to answer/resolve
o Introduce families to other opportunities at the BJCC as appropriate (e.g., camps, family events, other programming)
? ECC Admissions
o Manage waitlist
? Provide waitlist form to prospective families
? Add children to waitlist based on age and category (e.g. in-house, public)
? Provide waitlist families with updates and upcoming opportunities
o Design and publish admissions guidelines and applications
? Work with ECC Admin Team to design, finalize, and publish admissions guidelines and applications/tuitions
o Manage admissions process
? Ensure any interested/alumni family follows application process properly
? Review applications and address incomplete applications
? Answer application/admission questions as needed
? Understand classroom size/composition goals
? Communicate application status/acceptance to families
? Forest School lottery: create, communicate, and facilitate
? Manage teacher and family Google grops
o Create classrooms lists with director and assistant director based on teacher to student ratio goals
o Oversee and manage Universal Preschool Process
o Partner with Finance Bookkeeper to ensure all billing information is correctly accounted for
o Notify Teachers, Assistant Director, ECC Director, and Finance Bookkeeper with updates in regards to schedule changes, classroom changes, and withdrawals
? Student Files
o Create electronic child file at point of enrollment, and review forms to ensure they meet all Colorado State Licensing requirements
o Maintain student files
? Conduct bi-yearly file audits to ensure files are in compliance
? Assist ECC Office Manager with child file management and technical support
? Provide specific child forms to ECC Director, Assistant Director, and ECC Licensing Specialist as needed
? Medications and Health Forms
o Standard Health forms
? Review child’s physical form and Immunization record at point of enrollment to ensure they meet Colorado State Licensing requirements
? Notify families with advanced notice prior to their child’s health form expiration date
? Review incoming health forms regularly to ensure compliance
o Medications and Corresponding Health Forms
? Notify Teachers, ECC Assistant Directors, ECC Director and School Nurse Consultant upon enrollment and as needed, when a child will need medication at school
? In collaboration with the School Nurse Consultant, review all medications, medication labels, and corresponding health forms to ensure they meet Colorado State Licensing Requirements
? In collaboration with the ECC Licensing Specialist, ensure child’s teachers are trained, in accordance with Colorado State Licensing Requirements

COMPENSATION
This is a full-time (Up to 30 hours per week) non-exempt, year-round position, with a hiring range of $23.80-$27.60 per hour commensurate with experience.
