We are a fast-growing family owned and operated party rental and entertainment company. We are seeking an experienced Bookkeeper / Office Administrator . The ideal candidate is a detailed, self-starter who thrives in a fast-paced, team-focused environment. Applicants should be proficient and experienced with QuickBooks, Payroll Processing, Word and Excel. Experience in the entertainment industry is a plus. Full Time $23-$25 an hour.
Payroll Responsibilities
- Inputting new hire information and update payroll records
- Tracking, data entry, and processing employee’s timesheets
- Ensuring accurate and timely payroll checks for each payroll period
- Tracking and reporting employee benefits, raises, and vacation / PTO
- Maintains payroll guidelines by writing and updating policies and procedures
- Remitting payroll, income, sales and use taxes
Bookkeeping Responsibilities
Processing weekly customer payments and prepare bank depositsFiling customer contracts and driver payment sheetsPerforming accounts receivable functions including issuing invoices and collecting on past due accounts and accounts with deposits dueReconciling monthly bank statements, credit cards, cash accounts, and monitoring cash flow.Collecting, organizing, and filing invoices and checksTracking charges and refundsReview year end W3, W2, 1099-Misc, 1096 and filingsPerforming accounts payable functions, bill processing, checks, and paying vendors and entertainersAdministrative Responsibilities
Process onboarding of new employeesMaintain and monitor the employee onboarding programMaintain, update, and prepare new hire employee handbooksAssist with overflow from sales staff (voice mails, emails, online requests)Assist with documenting company processes and proceduresReach out to vendors and entertainers to gather documents needed to initiate contractual relationshipsRequest Certificate of Insurance for customer eventsFollow up with customers to thank them for their businessPrepare and tally customer service surveys for special projects and mailings using Constant ContactOrder and maintain office supply inventoryPrepare and collate paperwork for upcoming orders / deliveriesCollect, log in and scan client documentsPrepare internal reports, engagement letters, proposalsAssist Managers by performing various administrative functionsAssist with managing vendors, vendor negotiation and contracts.Monitor, order and distribute employee uniformsCopying, faxing, printing, distribution of documents, filing and data entry.Other duties as requestedEssential Qualifications :
Minimum of 3 years QuickBooks, bookkeeping, in an accounting related field.Preferred Bachelor’s Degree in Accounting, Finance, Business or similar field.Proficient knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc)Strong knowledge of Quickbooks.Experience with Microsoft Excel - pivot tables is a plus.Great organizational skills and detail oriented with the ability to plan and multitaskHas excellent written and verbal communication skills, especially in listening to and following directions.Exhibits meticulous attention to detail and process oriented.Able to quickly adapt to changing job requirements.Maintain confidentiality of business financialsRequires a positive attitude and a stronger team playerTyping speed : minimum of 40 wpmAble to exercise effective judgment and creativity to changing needs and situations.Strong ability to start and finish projects with limited supervision.Excellent interpersonal skills and a proven track record of working well with othersExperience with processing timesheets and payrollExperienced in handling a wide range of administrative tasksFlexible to changing responsibilitiesAbility to adjust daily priorities to meet changing demandsMust satisfactorily pass drug screening and a background check.Able to lift 25lbsAvailable shifts and compensation : Available shifts all days except Sundays and Saturdays. Compensation is $23.00 - $25.00 / hour.
