We are a fast-growing family owned and operated party rental and entertainment company. We are seeking an experienced Bookkeeper / Office Administrator. The ideal candidate is a detailed, self-starter who thrives in a fast-paced, team-focused environment. Applicants should be proficient and experienced with QuickBooks, Payroll Processing, Word and Excel. Experience in the entertainment industry is a plus. Full Time $23-$25 an hour.
Payroll Responsibilities
· Inputting new hire information and update payroll records
· Tracking, data entry, and processing employee’s timesheets
· Ensuring accurate and timely payroll checks for each payroll period
· Tracking and reporting employee benefits, raises, and vacation/PTO
· Maintains payroll guidelines by writing and updating policies and procedures
· Remitting payroll, income, sales and use taxes
Bookkeeping Responsibilities
· Processing weekly customer payments and prepare bank deposits
· Filing customer contracts and driver payment sheets
· Performing accounts receivable functions including issuing invoices and collecting on past due accounts and accounts with deposits due
· Reconciling monthly bank statements, credit cards, cash accounts, and monitoring cash flow.
· Collecting, organizing, and filing invoices and checks
· Tracking charges and refunds
· Review year end W3, W2, 1099-Misc, 1096 and filings
· Performing accounts payable functions, bill processing, checks, and paying vendors and entertainers
Administrative Responsibilities
· Process onboarding of new employees
· Maintain and monitor the employee onboarding program
· Maintain, update, and prepare new hire employee handbooks
· Assist with overflow from sales staff (voice mails, emails, online requests)
· Assist with documenting company processes and procedures
· Reach out to vendors and entertainers to gather documents needed to initiate contractual relationships
· Request Certificate of Insurance for customer events
· Follow up with customers to thank them for their business
· Prepare and tally customer service surveys for special projects and mailings using Constant Contact
· Order and maintain office supply inventory
· Prepare and collate paperwork for upcoming orders/deliveries
· Collect, log in and scan client documents
· Prepare internal reports, engagement letters, proposals
· Assist Managers by performing various administrative functions
· Assist with managing vendors, vendor negotiation and contracts.
· Monitor, order and distribute employee uniforms
· Copying, faxing, printing, distribution of documents, filing and data entry.
· Other duties as requested
Essential Qualifications:
- Minimum of 3 years QuickBooks, bookkeeping, in an accounting related field.
- Preferred Bachelor’s Degree in Accounting, Finance, Business or similar field.
- Proficient knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc)
- Strong knowledge of Quickbooks.
- Experience with Microsoft Excel - pivot tables is a plus.
- Great organizational skills and detail oriented with the ability to plan and multitask
- Has excellent written and verbal communication skills, especially in listening to and following directions.
- Exhibits meticulous attention to detail and process oriented.
- Able to quickly adapt to changing job requirements.
- Maintain confidentiality of business financials
- Requires a positive attitude and a stronger team player
- Typing speed: minimum of 40 wpm
- Able to exercise effective judgment and creativity to changing needs and situations.
- Strong ability to start and finish projects with limited supervision.
- Excellent interpersonal skills and a proven track record of working well with others
- Experience with processing timesheets and payroll
- Experienced in handling a wide range of administrative tasks
- Flexible to changing responsibilities
- Ability to adjust daily priorities to meet changing demands
- Must satisfactorily pass drug screening and a background check.
