Position Overview
We seek an experienced Executive Assistant and Office Manager to support our CEO while managing our New York office administration. This role is critical in ensuring smooth day-to-day administration and enabling our leadership to focus on strategic initiatives.
In this dual role, you'll manage complex calendar coordination across multiple time zones, handle sensitive information with discretion, and oversee office administration to create an efficient and engaging workplace environment. You'll be the key point person for internal and external stakeholders, representing the company professionally and competently.
As the Executive Assistant & Office Manager, you will:
- Provide comprehensive executive support to the CEO, including complex calendar management, travel arrangements, and expense reporting
- Coordinate meetings and communications across global time zones (Israel and USA)
- Manage office administration, including vendor relationships, supplies, and facility maintenance- the office will not include more than 10 employees by the end of 2025
- Handle confidential information with absolute discretion
- Coordinate internal communication and maintain organizational documentation
- Manage office budget and track expenses
- Support HR initiatives and maintain office policies and procedures
- Assist with special projects and ad-hoc tasks as needed
What you'll need:
- 4 years of experience as an Executive Assistant to C-level executives
- Proven experience in office management within a fast-paced startup environment
- Exceptional organizational skills and attention to detail
- Strong problem-solving abilities and proactive approach to challenges
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite, Google Workspace, and modern productivity tools
- Experience working with global teams across different time zones
- Ability to handle confidential information with discretion and professionalism
- Bachelor's degree preferred
- Experience in a startup environment is a must
- Experience with event planning and vendor management
- Ability to work independently and prioritize competing demands
