A highly regarded multi-family office is seeking a proactive and detail-oriented Executive Assistant to support the President and Founder. This role requires a high level of organization, discretion, and the ability to anticipate needs while managing daily operations. The Executive Assistant will handle extensive calendar management, coordinate complex travel arrangements, prepare reports and presentations, and act as a primary point of contact for clients. Additionally, they will support wealth management and life insurance operations, assist with board and committee meetings, and ensure smooth office administration. The ideal candidate is polished, highly detail-oriented, and thrives in a fast-paced environment. Experience in wealth management or life insurance is strongly preferred, along with exceptional communication skills and proficiency in Microsoft Office.

Salary Range : $85,000-$90,000 / year DOE

Executive Assistant Responsibilities :

  • Manage an extensive calendar, schedule meetings, and confirm appointments in advance
  • Arrange complex travel plans, including airfare, hotels, transportation, and itinerary management
  • Maintain and update contact information and client files in Outlook and other systems
  • Assist with meeting coordination, including preparing agendas, reports, presentations, and conference room setup
  • Support wealth management and insurance operations by generating reports, life insurance schedules, and service forms
  • Coordinate and assist with board and committee meetings, fundraisers, and charitable functions
  • Act as the primary point of contact for clients, handling inquiries with professionalism and confidentiality
  • Create and maintain flow charts, graphs, and presentations from freehanded notes in Excel and PowerPoint
  • Screen and direct calls, sort and distribute mail, and ensure office organization
  • Anticipate executive needs, identifying priorities and taking initiative on action items

Executive Assistant Requirements :

  • 2 years of executive assistant experience and 3 years of administrative experience
  • Experience supporting executives in wealth management or life insurance, particularly private placement life insurance
  • Strong proficiency in Microsoft Outlook, Excel (including pivot tables), Word, and PowerPoint
  • Highly detail-oriented, organized, and capable of managing multiple priorities in a fast-paced environment
  • Excellent verbal and written communication skills with a polished and professional demeanor
  • Ability to adapt to change, problem-solve, and work both independently and as part of a small, collaborative team
  • NYS Life & Health License or relevant experience supporting life insurance and investment professionals preferred
  • Series 7 Registration is a plus
