Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our executive team in a dynamic environment, as the executive team manages and supports multiple portfolio companies. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role is essential in ensuring smooth operations within the office and providing administrative support to enhance productivity. This role is very flexible from a work-life balance and a location perspective.
Duties
- Manage and maintain the executive's calendar, including scheduling meetings and appointments using Outlook Calendar.
- Preparing for and attending critical meetings such as board meetings or sales meetings with portfolio companies
- Answer phone calls with professionalism, utilizing effective phone etiquette and phone systems to ensure clear communication.
- Assist in preparing reports, presentations, and correspondence, ensuring accuracy through proofreading and attention to detail.
- Organize and maintain files, both physical and electronic, to facilitate easy access to important documents.
- Perform data entry tasks with precision to support various administrative functions.
- Act as a personal assistant by handling travel arrangements, expense reports, and other personal tasks as needed.
- Collaborate with other administrative staff to streamline office processes and improve overall efficiency.
- Participate in managing and coordinating sales team reporting for multiple companies
Skills
- Proficient in Outlook Calendar management and various phone systems.
- Strong proofreading skills with an eye for detail in written communications.
- Experience in administrative roles such as clerical work or personal assistance is preferred.
- Excellent typing skills with a focus on accuracy for data entry tasks.
- Ability to prioritize tasks effectively while managing multiple responsibilities.
