Job Summary: The Payroll Coordinator (PAY) is responsible for the accurate and timely processing of hourly, salaried and executive payroll for all employees for Andros North America, Bowman Andros Products, and their subsidiaries. The Payroll Coordinator ensures compliance with multiples state and federal employment tax laws and regulations as well as adherence to Company policy.
Essential Functions and Responsibilities:
- Reviews and adjusts timecards for accuracy and compliance with Bowman Andros policies, pay practices, state and federal compliance, and ensures supervisory approval.
- Processes weekly, semi-monthly and individual paycheck batches for multi-state payroll runs, thoroughly matching and reviewing the pay system against the attendance system for accuracy before completion.
- Reviews new hire system entries; direct deposit entries and processes terminations, ensuring accuracy for reporting, tracking and final paychecks.
- Reviews and verifies, correcting as needed, all status and payroll changes entered by Human Resources and Employee Self-Service.
- Processes retro payments and makes manual adjustments when necessary.
- Controls management, supervisory and user access to the payroll system.
- Reviews 941 reports, quarterly reports, new hire compliance, and any other governmental employment payroll and tax reports.
- Works with third party administrator to set-up new department codes and payroll codes as needed.
- Participates in annual 401(k), Financial Statement, Bank, Customer and Worker’s Compensation audits.
- Processes and distributes reports out of the payroll system to requesting departments in a timely manner, to include but not limited to: Labor Distribution Reports, General Ledger Journal Entries, Time-Off Accrual Balance reports, Cost Analysis hourly reports and others.
- Accurately processes uploads to third party benefits systems within necessary time frames.
- Trains new supervisors on the time and attendance system and provides assistance when needed.
- Maintains garnishment, lien and child support order files correctly and efficiently, ensuring compliance with IRS and withholding regulations, to include providing answers to the court systems, monitoring the number of orders and meticulously tracking files to ensure prompt payment and reduce liability for Bowman Andros Products.
- Maintains 401(k) Loan amortization schedules, deduction entries and goals.
- Sorts and distributes weekly and salaried pay stubs.
- Tracks deduction arrearages for employees on leave (FMLA, STD, LOA).
- Submits year-end manual checks for taxable earnings paid outside of payroll system.
- Other duties, as required.
Required Knowledge, Skills and Abilities:
- High School Diploma required.
- 2 - 5 years of recent payroll processing experience.
- Strong knowledge of FLSA, FMLA, Payroll and IRS regulations
- Regular and reliable attendance required.
- Verified prior experience with a payroll processing software system.
- Proficiency with Microsoft Office, with a demonstrated mastery of Excel.
- Able to maintain highly confidential information.
- Ability to handle pressures of dealing with priorities that change frequently and have very short time frames without losing composure.
- Strong multi-tasking skills, excellent attention to detail, and a self-starter.
- Works well under pressure and can meet strict deadlines.
- Strong communication skills, verbal and non-verbal.
Preferred Knowledge, Skills and Abilities:
- Experience with general ledger accounting.
- Teamamte’s degree, payroll certifications or other educational experience strongly preferred.
- Prior experience with ADP.
Working Environment:
The work environment characteristics described here are representative of those a teammate encounters while performing the essential functions of this job. Considerable time will be spent working within an office environment as well as occasional time on the production floor. The incumbent will be exposed to long periods of sitting at a desk and working on a computer. Exposure to loud noises from production equipment and moving mechanical parts will also occur.

The Payroll Coordinator may be required to push, pull and lift up to 50 pounds on an occasional basis.
