Multi-Family Purchasing Coordinator
Position Overview
We're seeking a detail-oriented and proactive Multi-Family Purchasing Coordinator to join our construction team. In this role, you'll play a vital part in supporting our multi-family construction projects by coordinating purchasing, managing vendor relationships, and ensuring smooth workflows between our corporate and regional teams. This position offers a blend of administrative and project coordination tasks in a fast-paced, collaborative environment, ideal for someone who enjoys bringing structure and efficiency to complex processes.
Key Responsibilities
- Permit and Documentation Management : Prepare, distribute, and track permit documentation and packages for submission to city / county authorities.
- Administrative Support : Provide direct administrative support to the construction department, handling calls, emails, and coordinating with corporate and regional teams.
- Vendor and Subcontractor Coordination : Draft and manage correspondence with owners, subcontractors, and vendors, including creating, reviewing, and issuing budgets, purchase orders, and change orders as needed.
- Project Document Management : Organize and maintain project documentation, plans, and subcontractor records-both physical and digital. Update and manage project files in construction management software.
- Subcontractor and Supplier Management : Handle subcontractor agreements, track insurance certificates, and maintain an updated list of approved vendors and subcontractors.
- Budgeting and Invoicing : Assist in budgeting, cost tracking, invoice review, and coding, ensuring all expenses align with project budgets.
- Estimating and Take-offs : Estimate building material requirements based on project plans and coordinate with property management / design teams on selections.
- RFI and Submittal Processing : Track RFIs, submittals, and as-built documents, ensuring accurate and timely responses to project needs.
