TITLE : Site Supervisor

REPORTS TO : Area Club Director

STATUS : Full-Time Hourly w / Benefits, Non-Exempt

PRIMARY FUNCTION :

Directs / manages overall daily operations of the Oakridge School Site, with the primary concern for programs and service delivery, supervision and training of staff, and membership administration. Promotes safety of members, quality programs, and positive appearance of the Club at all times, and ensures requirements of all funding sources and partnerships are met at all times.

ESSENTIAL JOB RESPONSIBILITIES :

Outcomes Management

Supervise daily activities of Program Coordinators including establishing, monitoring, and evaluating Club programs, activities and services that prepare youth for success, and that creates an environment that facilitates achievement of strategic outcomes.

Develop and maintain public relations and recruitment efforts to increase the visibility of programs, services, the number of children participating in activities within the Club and the community.

Communicate and build relations with external community groups, schools, staff, teachers, principals, and members’ parents.

Ensure that the program has a posted schedule and daily written lesson plans with staff assigned to specific duties.

Maintain all staff and student attendance and enrollment records and ensure that all records are up to date and accurate in the required databases which include My Club Hub,EZ Report and any grant management platforms.

Meet with students during student lunch periods at schools for support and / or recruitment.

Resource Management

Adhere to annual budget reports and control expenditures against budget.

Ensure administrative and operational systems are in place to maintain the operation of the physical properties and equipment of the Club site, including use of facilities by outside groups.

Skill Development

Recruit, manage and provide career development opportunities for Club staff and volunteers.

Develop staff skills in program development and implementation, outcome management, fundraising, membership development,

Conduct meetings to inform staff of changes in programming, and to gain input.

Marketing and Public Relations

Increase visibility of Club programs via posting daily schedules, announcement of upcoming events and dissemination of timely information to schools, other organizations and the media through the school administrative office.

Additional Responsibilities

  • Secure a healthy and safe environment, overseeing the maintenance of Club facilities, equipment and supplies.
  • Make needed purchases utilizing Club Divvy card within the guidelines of the budget.
  • Work with staff on special events to carry out programs in all departments and / or participate in the implementation of other site activities as necessary.
  • Support program coordinators versight of problem-solving relating to members; create and implement behavior modification plans.
  • Abide by and support the Club mission- to inspire all youth to reach their full potential, as caring, productive, and responsible citizens.
  • Oversee specific programs / activities as needed (Keystone Club, Torch Club, etc).

Relationships

  • Internal : Maintains close, daily contact with Club professional staff to interpret and explain organizational mission, program objectives and standards, and provide / receive information. Abides by organizational communication policies including timeliness in response to emails, text, workplace chats and phone calls. Must be cooperative, friendly, and create a safe and harmonious environment.
  • External : Attends quarterly collaborative advisory committee meetings with school administrators, actively contributing by delivering updates on the Club site and collaborating with schools to establish robust support systems for the youth under their care. Maintains contact as needed with external community groups, schools, members, parents and others to assist in resolving problems.
  • SKILLS / KNOWLEDGE REQUIRED :

  • High school diploma / GED and 480 hours of experience working in a program serving school-age children and 15 clock hours, 1 semester hour, or 1.5 CEUs of documented school-age training.
  • Preferred Educational background is a Bachelor’s degree in a child-related field from an accredited college / university; OR Associate’s degree in a child-related field and 480 hours of experience; OR Montessori credential and 12 semester hours of coursework in a child-related field and 480 hours of experience; OR valid child development associate credential and 12 semester hours of coursework in a child-related field and 480 hours of experience; OR sixty semester hours of education with 12 semester hours of coursework in a child-related field and 720 hours of experience; OR High school diploma / GED and 6 semester hours of coursework in a child-related field and 2880 hours of experience.
  • Demonstrated ability in supervision, facilities management, and recruitment / retention.
  • Working knowledge of budget preparation, control, and management.
  • Strong communication skills, both verbal and written.
  • Group leadership skills, including an understanding of group dynamics.
  • Demonstrated organizational, staff, and project management abilities.
  • Possess current CPR / First Aid certificates (or completion of certification within the first 90 days of hire).
  • PHYSICAL REQUIREMENTS / WORK ENVIRONMENT :

  • Must be able to sit, stand or walk for extended periods of time.
  • Must hold a valid driver’s license and proper automobile insurance
  • Must be able to squat or bend to communicate at youths’ level.
