What are the responsibilities and job description for the Area Manager position at Boys and Girls Clubs of North Central Illinois?
Job Summary: The Area Manager is responsible for overseeing several club sites by providing leadership, management, supervision to ensure an awesome program with highly qualified and trained youth development professionals on site resulting in programs that meet the highest standards and provide the best impact for the members of the Club.
Leadership & Staff Management
- Communicate and build consensus around the Club’s mission, vision and core values and act in a consistent manner.
- Set an example of what is expected from staff, members and parents.

- Ensure follow through on promises and commitments, accepting responsibility for performance

Program Management & Supervision
- Observe sites during hours of operation and ensure a productive work environment
- Supervise the program team to ensure that programs and plans are being implemented accordingly.
- Oversee the implementation of a recruitment and retention plan for Club members and provide leadership and guidance to ensure successful completion of enrollment and attendance goals.
- Ensure program teams are wearing uniforms and name tags every day.
- Ensure implementation of planned programs that encompass key BGCA programs, outcome areas, and the 5 Key Elements. Ensure that the plan includes the following:
- Academic Success –Reading and math programs, STEM, study skills, college and career pathways, and financial literacy.
- Good Character & Citizenship –Social skills, soft skills, service learning, social justice, career exploration and discovery, and workforce development.
- Healthy Lifestyles –Daily exercise, SMART Programs, self-and emotional-regulation skills, conflict resolution and interpersonal skills, and decision-making and problem-solving.
- Support and guide the program team with the placement, evaluation and recognition of program assistants to ensure a team that produces results and is dedicated to the mission and values of the Club.
- Ensure youth recognition & youth input takes place monthly.
- In partnership with the resource development team, ensure all talent/youth speakers for the Gala and other special events are well prepared and meet expectations of event.
- Ensure youth mentoring expectations are fulfilled.
Administration, Reporting & Financial Management
- Ensure program compliance, data collection and paperwork to meet the obligations on grant contracts. Generate status reports as requested.
- Ensure that the club resources are effectively used for a mission-driven programs
- Assist with grant applications and supporting documents when requested.
- Implement, supervise and evaluate all programs and activities provided at program site, per the grant guidelines ensuring all objectives are met.
- Ensure Program Managers complete monthly report and dashboard in order to provide a program highlights, membership and attendance data and other pertinent information as requested.
- Ensure successful execution of programs including compilation of monthly reports, meeting attendance requirements, budget management and upkeep, and program evaluation per grant guidelines.
- Supervise the data collection process to ensure accurate record keeping of member attendance, grades collection, and other pertinent data.
- Demonstrate proficiency in utilizing KidTrax to generate reports necessary for grant reporting purposes and data entry.
- Recommend requisitions, as necessary; to the Chief Operating Officer (COO).
- Help maintain an inventory of all program equipment and ensure that supplies are in good order.
- Oversee and manage site budgets, purchasing supplies for program coordinators and offering support to program managers.
- Participation in mandatory grant related trainings (may include overnight travel).
Communication, Marketing & Resource Development
- Collaborate with outside community organizations and director of volunteers & engagement to maintain partnerships.
- Maintain a professional tone in written and verbal communication. Provide professional presentations on behalf of the Club as needed.
- Ensure compliance with BGCA graphic standards.
- Oversee the production and distribution of a monthly newsletter for parents and schools that highlights and recognizes programs, members and upcoming events.
- Establish regular meeting times with program managers and coordinators (at least 2 a month). Keep agendas and minutes of all meetings.
Environmental Conditions
- The Area Manager may have to manage a number of projects at one time and may be interrupted frequently to meet the needs and requests of residents,clients and contractors.The Director of Social Justice may find the environment to be busy,noisy and will need excellent organizational and time and stress management skills to complete the required tasks.
Mental Demands (Conditions that may lead to mental or emotional fatigue)
- The Area Manager will have to manage several requests and situations at one time.Stress may be caused by the need to complete tasks within tight deadlines.
