Job Summary
The Operations Associate greets all BCNY staff and members, parents of members, and visitors in a courteous manner and ensures that access to the Clubhouse is limited to those having legitimate dealings with the organization. He/she is responsible for managing member registration, processing members as they enter the building, and producing reports and other information as requested through the computerized tracking system, KidTrax. The Operations Associate has full knowledge of clubhouse programs and services and provides that information upon request.
Job Requirements
BCNY is a COVID-19 proactive organization that follows applicable health and safety regulations to help protect our members and staff. To that end, we require that all BCNY employees be fully vaccinated against COVID-19. BCNY requires all staff to receive a booster shot that protects against COVID-19 once they become eligible. New employees will be asked to submit proof of full vaccination prior to their start date. BCNY treats proof of vaccination confidentially and consistent with applicable law, and will not use the information for any purpose other than to ensure compliance with BCNY’s mandatory vaccination policy.
Responsibilities
· Greet all BCNY staff and members, parents and visitors and ensure each is properly directed based on established security guidelines
· Complete the registration process for all members (new and renewing) accurately and within a set timeframe; produce a photo ID card for each member at the end of the process
· Contact parents and/or members for missing or correct membership information to complete registration
· Maintain an accurate door count of members and proper sign-in procedures and complete all related and required paper work on a timely basis
· Set up and maintain all Clubhouse member paper files, adhering to the prescribed guidelines for required forms and documents
· Collect, record, and turn in all membership fees, ensuring the amount deposited corresponds with registration information on a daily basis
· Produce reports and summaries utilizing KidTrax data as requested
· Answer the phone and deal with inquiries appropriately
· Send complete and accurate files to Camp for each registrant and staff member; work with Camp Director to ensure that all necessary information is received.
· Ensure a clear flow of “traffic” inside and directly outside of the Clubhouse and secure all areas of the main floor each night; care for and maintain Clubhouse equipment and facilities as directed
· Ensure the front desk is covered at all times, that visitors are greeted and directed courteously, and that all packages are delivered or stored appropriately
· Provide general information on programs and services available for BCNY members when inquiries are received; respond to any requests for information or assistance, whether in person or on the telephone, in a courteous and professional manner
· Hire, supervise and train part-time lobby personnel in conjunction with the Operations Manager
· Manage volunteer flow, sign in sheets, and department placement
· Perform any related services as requested and attend staff meetings as required by the Clubhouse Director and/or Operations Manager
· Demonstrate knowledge of the philosophy, mission and purpose of The Boys’ Club of New York
Qualifications
· Associates degree or post-secondary training in computer and administrative skills required, Bachelor’s degree desirable
· Minimum of three years’ work experience in a related capacity
· Experience with database systems and report generation
· Ability to work in a demanding atmosphere and manage groups of children and adults in a confined space
· Team player; willingness to problem-solve
