JOB DESCRIPTION:
The Events Director is responsible for coordinating and overseeing events for the Boys & Girls Clubs of Bloomington, with a strong focus on building relationships with community partners and securing sponsorships for events. This position is central to both fundraising and event execution, especially around the coordination of Boys & Girls Clubs of Bloomington fundraising, donor appreciation, and cultivation events. This position also acts as the Lemonade Day City Director and coordinates all events related to Lemonade Day in Monroe County.
RESPONSIBILITIES:
- Event Coordination (75% of Role): Lead the coordination and execution of major fundraising events, including SMART Girls, STRONG Women, Boys to Men, Club Heroes Golf Marathon, and other fundraising events. Alongside the Donor Relations Director oversee events aimed at donor and volunteer cultivation, such as the Eat Thank Love Luncheon, Blue Door Society Cookout, and other cultivation events. This involves managing logistics such as registration, save the dates, invitations, attendee tracking, event materials, setup, and post-event evaluations. This also involves solicitation of in-kind donations for events and sponsor solicitations, as well as tabling and registrations for Lemonade Day and other Community Outreach events.
- Event Logistics Support: Oversee all logistics for events, including managing volunteers, coordinating event setup and breakdown, food and beverage, and ensuring that all materials and supplies are in place. Ensure smooth operations and address any challenges that arise during events.
- Volunteer and Attendee Engagement: Collaborate with the Resource Development team to engage with volunteers, attendees, and donors. Create and manage event invitations, RSVPs, and follow-up communications. Provide outstanding customer service and support for event participants.
- Sponsorship Acquisition & Relationship Management: Actively seek in-kind and monetary sponsorships for events. Build and maintain strong relationships with corporate and community sponsors. Ensure proper recognition of sponsors at events, and help develop tailored sponsorship packages. Ensure that sponsors’ needs are met and their contributions are appropriately acknowledged.
- Lemonade Day Coordination (25% of Role): Serve as the City Director for Lemonade Day, which includes leading a group of Volunteer Board Members on the Lemon Council, organizing and managing events such as Kick-Off, University Day, Lemonade Day, Celebration Carnivals, Sponsor Breakfast, and tabling outreach events. Secure all sponsorships and in-kind donations and manage relationships with donors and sponsors. Oversee sponsorship recognition and ensure alignment with event goals. Work with Community Partners to continually expand the reach and quality of Lemonade Day. Works with National Lemonade Day to ensure the local program continues to grow and is responsible for updating and maintaining the Lemonade Day Monroe County website.
- Database Management: Maintain accurate records of event participation, sponsorship details, and donor contributions in the donor database (e.g., Bloomerang). Ensure proper tracking of donations and sponsor interactions, including acknowledgments and recognition.
- Administrative Support: Provide general administrative support to the Resource Development team, including answering phones, responding to emails, maintaining filing systems, and assisting with event-related correspondence.
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:
- Sponsorship & Relationship Building: Proven ability to acquire in-kind and monetary sponsorships and manage relationships with community partners and sponsors.
- Event Coordination Experience: Strong experience in planning and executing events, including managing logistics, vendor relations, and volunteer coordination.
- Organizational Skills: Exceptional organizational skills and attention to detail, with the ability to handle multiple tasks and events simultaneously while meeting deadlines.
- Communication Skills: Excellent verbal and written communication skills. Comfortable speaking with sponsors, donors, and community members, both in one-on-one settings and in front of groups.
- Teamwork and Collaboration: Ability to work effectively as part of a team, including closely with the Vice President of Resource Development and other team members.
- Problem Solving: Strong problem-solving skills with the ability to manage unforeseen challenges and adjust plans as needed during event execution.
- Database Management: Familiarity with donor databases, particularly Bloomerang, or similar platforms, to manage and track event participation, donations, and sponsor relations.
- Flexibility and Adaptability: Willingness to work evenings and weekends as needed for events, and the ability to adapt to shifting priorities and timelines.
PREFERRED QUALIFICATIONS:
- 3-5 years of experience in event coordination, sponsorship acquisition, or a similar role.
- Experience with fundraising and donor engagement strategies.
- Ability to develop and manage sponsorship packages.
- Knowledge of community engagement practices and relationship-building strategies.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
- Ability to perform gross and fine motor activities required for typing, writing, simple manipulations such as telephone buttons, computer keyboards, fax machine buttons, etc.
- Ability to work in a professional environment and positively represent organization under various levels of stress.
- Ability to work on multiple projects and prioritize effectively.
- Visual acuity for accurate reading, typing, filing and use of computer screen.
- Ability to work at a rapid pace and where frequent interruptions and changes in plans or deadlines may occur.
- Hearing is needed for purposes of business related phone communications, public broadcasts, answering incoming phone calls, etc.
- Ability to lift and carry 15 to 50 pounds for office supplies, audio equipment, and other items needed for the preparation and takedown of special events.
- Ability to operate a safe mode of transportation for publicity functions/events, transportation of supplies, and meetings.
- Ability to bend, twist, reach, stoop, squat for filing and retrieval of stored files and supplies.
