POSITION DESCRIPTION

TITLE: Program Coordinator

STATUS: Full time, hourly

DEPARTMENT:

REPORTS TO: Site Director

PRIMARY FUNCTION:

The Program Coordinator is the second-in-charge of the overall procedures and operations of the site. They need to ensure the safety of staff, volunteers, club members, parents, and visitors. The Program Coordinator will be the supervisor of a site when the Site Director is not present.

KEY ROLES (Essential Job Responsibilities):

  • Develops, enhances, and assesses personal enrichment programs/curriculum and instructional materials that meet programmatic and organizational goals.
  • Ensures all program materials are purchased
  • Ensures all program materials are in designated program area prior to the start of programs.
  • Ensures all areas have adequate consumable items needed to run programs such as paper and pencils.
  • Ensures all program spaces have a current schedule posted.
  • Ensures seamless programming.
  • Completes data entry and administrative tasks as assigned.
  • Enforce all workplace policies and procedures.
  • Complete assigned reports.
  • Complete assigned case management.
  • Complete all program oversight activities assigned.
  • Develops, enhances, and assesses curriculum and instructional materials that meet programmatic and organizational goals.
  • Maintain and adhere to departmental budget.
  • Address and report safety concerns in a timely manner.
  • Delegate responsibilities and supervise the work of employees and volunteers, providing guidance and motivation to drive maximum performance.
  • Actively participate in program operations.
  • Assist the Site Director in ensuring all required documentation is submitted to the administration office in a timely manner.
  • Attends and participates in all required meetings, activities, pre-service and in-service training that includes but is not limited to 15 hours of classroom focused professional development and methods that comply with applicable State and local laws for identifying and reporting child abuse and neglect.
  • Maintain and uphold confidentiality of children, parents and staff.
  • Identifies and reports any suspected child abuse/neglect cases, notifying the Program Manager, who then notifies the Executive Director.
  • Sets up the physical environment to meet the changing needs of club members.
  • Displays and develops material and provides activities related to cultures of the community in order to increase the children's respect and understanding of their own and other local cultures.
  • Maintain necessary documentation on classroom and child observations, attendance records and other paperwork as assigned.
  • Prepare and maintain a safe, healthy learning environment for children that is positive, developmentally appropriate and experientially-based.
  • Provide sufficient and appropriate outdoor time daily for children.
  • Dress in clothing which is appropriate for outdoor activity and all weather conditions.
  • Model and promote communication and problem-solving skills that assist in developing positive interactions, creating an atmosphere of acceptance, support and encouragement, which fosters the development of positive self-concept and self-esteem in children as well as attachment, bonding, and trusting relationships.
  • Display commitment to continuing professional growth by taking classes, reading journals, etc.
  • Contributes to the collection process of correct documentation for the Child Care Food Program (CCFP).
  • Is knowledgeable about CCFP requirements regarding portions and components of each meal service.
  • Conducts point of service meal documentation, or assigns responsible staff to count meals when children are seated/held and have been offered a credible meal by USDA standards for portions and components.
  • Enters point of service meal counts in appropriate forms or software used by program to support claim reimbursement.
  • Edit checks CCFP records for accuracy and integrity before submitting to program office for additional edit checking.
  • Gain and use knowledge and awareness of all DCF Minimum Standards and guidelines and other federal regulations as prescribed by supervisor.
  • Assure program's needs for parent involvement are met.
  • Establish positive and productive relationships with families focusing on a relationship of trust and rapport with the parents of the children.
  • Collaborates on daily job assignments within the classroom, provides instruction in performing job duties and models appropriate classroom practices.
  • Sets the standards of the classroom and goals for other classroom staff, monitors progress toward goals, provides regular feedback, and submits performance appraisals (as appropriate) in a timely manner.
  • Provides daily supervision of all classroom staff, monitors employee performance and classroom activities. Conducts competency assessments and performance evaluation of assigned staff and/or volunteers.
  • Acquire and maintain up-to-date training/certification in CPR and First Aid.
  • Attend workshops, conferences, training sessions, and all in-service training. Participate in professional development activities. Maintain training hours and documentation as required.
  • Show competency, good judgment, and self-control in working with children.
  • Gain and use knowledge and awareness of all referral procedures.
  • Reliably and skillfully use electronic devices, including but not limited to desktop computers, laptop computers, and tablet devices.

RELATIONSHIPS:

Internal: Maintains close, daily contact with other staff, club members, and volunteers.

External: Maintains contact with members' parents and others to assist in resolving problems.

SKILLS/KNOWLEDGE/QUALIFICATIONS REQUIRED:

  • High school diploma or equivalent
  • Ability to motivate youth and manage behavior problems.
  • Ability to organize and supervise members in a safe environment.
  • Valid State Driver’s License
  • Accurate data entry skills
  • Interpersonal skills
  • Ability to accept responsibility for assigned duties, ability to understand verbal/written instructions/reports
  • Ability to write reports and business correspondence.
  • Ability to read, analyze, and interpret general educational journals.
  • Ability to speak before groups of individuals.
  • Good attendance history in previous position
  • DCF Level II Background Screening must be performed and eligible results received before employment begins. Must be re-screened at least once every five years and remain eligible to continue employment.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

  • Maintain mental and physical alertness and an appropriate level of energy to perform essential job requirements.
  • Duties to be performed indoors and outdoors with and around young children.
  • Physically able to perform duties which may include, but not be limited to lifting (min. of 50 pounds), bending, moving with haste, etc.
  • Due to the physical requirements of the position, prior to employment and annually thereafter, a fitness test will be conducted. If reasonably possible, results that do not meet the standards required for the position will result in accommodations or a change of position; if neither are judged to be reasonably possible by the Executive Director, termination of employment will occur.
  • Travel by car, bus, airplane or train may also be required associated with attendance at conferences, meetings and other duties carried out at distant locations in and out of state and in some cases where some overnight travel may be required.
  • Noise level in work environment may be moderate to loud.
  • Work is typically performed in both indoor and outdoor settings.
  • Some evenings and weekend work may occasionally be required.
