Summary
We are seeking a Front Desk Assistant to join our Teen Center team at the Boys & Girls Club of Paterson and Passaic. This role is essential in creating a welcoming atmosphere for our members, parents, and visitors, ensuring efficient operations at the front desk while supporting our mission of youth development. The Front Desk Assistant will provide guests, parents, staff, and members with accurate information about the organization; manage the database and maintain accurate records for reporting and grant purposes; manage child safety through accurate attendance recording in the database and provide high-quality customer service.
Responsibilities
- Greet and assist members, parents, visitors, and staff with professionalism and courtesy.
- Manage front desk operations and maintain order, including answering phone calls and responding to inquiries.
- Create an environment that facilitates the achievement of Teen Development Outcomes
- Maintain accurate records of attendance, membership information, and reporting.
- Handle administrative tasks such as filing, data entry, and correspondence.
- Ensure the front desk area is organized and welcoming at all times.
- Provide information about programs, services, and events to members and guests.
- Collaborate with team members to support overall club activities and initiatives.
- Assures that all members and guests adhere to registration procedures on a daily basis.
- Fully understand Club operations, schedules, procedures, and policies
- Collection of membership dues and/or activities fees
- Assisting with membership reports as needed
- Assisting with Club promotional materials
- Other duties as required
Qualifications
Minimum of three years of administrative support experience in an office environment required. Applications, Parent Communications, Phone Coverage, Member Attendance, Data Entry,
Demonstrated knowledge of principles related to technology, including computer operations, word processing with a high degree of accuracy, good grammar, strong customer service skills and strong attention to details.
- Proven experience in customer service or front desk operations.
- Strong computer literacy with proficiency in office software applications.
- Excellent communication skills, both verbal and written.
- Ability to maintain a professional demeanor in a fast-paced environment.
- Organizational skills with attention to detail for managing records effectively.
- Experience in administrative or clerical roles is preferred but not required.
- Familiarity with phone etiquette and handling inquiries professionally.
Education:
High school diploma required; two years of accredited college or university completion preferred.
