TITLE: Site Coordinator
DEPARTMENT: Programming
REPORTS TO: Director
STATUS: Full-time, Salary, Exempt
POSITION SUMMARY:
Directs overall daily operations for designated site. Oversee and provide direction for program development and delivery. Recruit, hire and manage personnel issues for all direct reports. Ensure that all areas of the site are well maintained, in excellent working condition, safe and secure for our staff, members and guests.
LEVEL I ESSENTIAL FUNCTIONS:
- Develop, implement and administer comprehensive programs within the 5 core areas with
an emphasis and support of youth and teen development outcomes, services and activities for members and visitors. - Regularly attend and participate in meetings and trainings and keep staff apprised of Club issues.
- Develop collaborative partnerships with parents, local civic groups and social agencies within the community.
- Coordinate transportation schedules, as applicable for the location.
- Represent the Club by communicating the mission, program objectives and scope of opportunities available for families and members.
- Provide a safe and secure environment for all Club members.
- Work closely with Human Resources to manage employee relation issues including progressive discipline up to and including termination of employment.
- Ensure that School Site staff are consistently delivering programs in accordance with Boys & Girls Club of Truckee Meadows standards.
- Recruit, select, manage and provide career development opportunities for staff.
- Provide direction to community volunteers as needed.
- Conduct and attend regular staff meetings.
- Provide oversight and direction regarding member behavior concerns, and disciplinary action, including suspension issues.
- Serve as the primary point of contact for parent/child issues.
- Manage financial resources, including grant reporting and adherence to departmental budgets.
- Develop and implement strategic initiatives in accordance with meeting and exceeding core program objectives.
- Regularly evaluate and audit the overall quality and objectives of programs. Provide a written analysis of observations and feedback annually or as warranted.
- Manage all staff issues and ensure that the Onboarding process is consistently and fully executed for all new hires and that career development objectives are in place to accurately reflect the performance metrics for current staff.
- Responsible for staff training.
- Ensure that Club procedures, including but not limited to human resources and financial policies are strictly adhered to.
- Prepare activity/programming reports for management.
- Attend all regularly scheduled Coordinator meetings, All Staff meetings, and other meetings as appropriate.
- Attend all required trainings
- Complete training with the Program Quality Team (PQT), Grants, and Finance.
- Complete the coordinator onboarding process.
- ALL BGCTM employees have the responsibility to help maintain the safety of our members and staff, and ensure an optimal Club experience for all.
LEVEL II ESSENTIAL FUNCTIONS:
- All of the functions of a Level I Site Coordinator.
- Monthly reports and all Paycom allocations are correct and completed on time.
- All members registered and paid.
- Assessments are satisfactory.
- High quality and effective programming.
- Club Events/Requirements on time
- Positive staff retention.
SKILLS/ABILITIES:
- Excellent written and verbal communication skills, able to communicate effectively with a diverse population, and represent BGCTM professionally to the community.
- Excellent organizational skills and attention to detail.
- Able to produce and provide data/reports in a timely manner.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Able to function well in a high-paced and at times stressful environment.
- Proficient with Microsoft Office Suite or similar software.
CERTIFICATIONS/ASSOCIATIONS:
- After hire, will receive mandatory paid on-line and in-person training, including Safety Skills, CPR/First Aid, etc.
- After hire, will be registered with Boys and Girls Clubs of America.
- Required to obtain a Commercial Driver’s License within 90 days of employment, if necessary for the position.
Qualifications
EDUCATION/EXPERIENCE:
- High School Diploma or GED required; Bachelor’s degree strongly preferred.
- Minimum of three years work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs to youth and teens or a combination of education and relevant experience.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
- Must be able to perform duties which require walking, talking, hearing, standing, sitting, and/or bending for long periods of time. May occasionally be required to kneel, run and/or climb.
- Must be able to use hands and arms to enter data into the computer, use the telephone and other office equipment.
- Must be able to perform surface and deep cleaning, as needed.
- Must be able to lift, move manipulate and or hold objects up to 45 pounds. Objects that exceed the 45-pound weight limit require additional assistance when moving, lifting or manipulating.
