Job Description: Boys & Girls Clubs of Mercer County seeks a Front Desk Coordinator to carry out much of the administrative duties in support of the Membership Department. This position reports to the Director of Operations and the Membership Director
Major Responsibilities:
- Support the function of Centre Street Programs
- Enter Attendance: Centre Street ASP, Tween Drop-In Offsite ASP, Camp, etc.
- Provide Attendance for Centre Street Programs, including offsite programming
- Update and maintain Centre Street transportation files.
- Communicate with Site Coordinators (and Membership Director and Director of Operations) with changes to attendance – include appropriate paperwork to the program
- Keep Member files up-to-date and accurate – pull and file camper health forms separately
- Support Snack Grant Program
- Update snack forms for all Sites and email coordinators, communicate with Membership Director
- Count Accurately and submit Snack Forms for Centre Street Programs.
- Support Membership Director and Parents
- Receive and check that all scholarship information completed accurately, supporting documentation attached, consult with Membership Director, works with families to offer scholarships in a timely manner.
- Print Tax Id and Payment history Letters upon Parents request
- Work with Membership Director to process CCC/3 Party Agreements. Train to lead CCC/3 Party process for Centre Street.
- Support Programs with Marketing efforts including distribution of promotional/registration materials.
- Maintaining files and organizing documentation.
- Maintaining cleanliness of the front desk area.
- All other duties to be assigned
Other Responsibilities:
- Answering and processing telephone calls
- Greeting visitors and answering their basic queries about programs/policies/procedures.
- Providing clerical and administrative support.
- Collecting and entering data.
- Providing data to complete weekly, monthly & quarterly reports.
- Maintaining files and organizing documentation.
- Maintaining cleanliness of the front desk area.
- Dispatching and receiving important documents, preparing correspondences, filing documents, making photocopies and sending faxes.
Qualifications
- Should possess a high school diploma.
- Should have experience of working in a similar position.
- Knowledge about the standard norms of customer service.
- Ability to work with various personalities.
- Should be highly organized.
- Working knowledge of Outlook, Word, and Excel.
- Knowledge of clerical process.
- Ability to learn administrative functions of the organization and adapt to changing priorities.
- Punctual and dependable.
- Pleasant personality and excellent verbal or communication skills.

Pay: $17.00 - $19.00 per hour
