Administrative Assistant Manager
Projects exemplary professional impression of the organization and provides administrative support for the Chief Administrative Officer as well as the departments under the CAOs direction. Deals with a diverse group of internal, external constituents as well as visitors and vendors. Must be a proactive thinker who is self-motivated and can use independent judgment to plan, prioritize, and organize diversified workload.
Department specific major tasks/responsibilities:
Administrative:
- Assist Chief Administrative Officer with management and support of Board of Directors and Foundation Board of Directors with meeting planning, agenda preparation, and keeping minutes.
- Help to maintain the functionality of the administrative offices with distribution of mail, keeping office supplies and inventory at par, and assist with meeting room or training preparation as needed.
- Helps to maintain administrative calendars and club use calendars.
- Responsible for proper record keeping of HR, Board of Directors, and club use records on the appropriate recording keeping platform or ShareDrive.
- Responsible for the process of renting out club spaces and managing club use agreements, payments, marketing, etc.
Human Resources:
- Assists with policies and procedures for the effective management of human resources, ensuring compliance with federal, state and local laws, regulations, and community practice, as well as Boys & Girls Clubs of Southern Nevada mission and values.
- In collaboration with the Chief Administrative Officer, provide information and training to staff to support management decision-making regarding policy issues, employee relations, compensation, benefits practices and costs, and recruitment practices.
- Assist with building and maintaining proper workflows and systems in our people management system. Be able to troubleshoot systems issues if they occur.
- Lead selection and screening of candidates for employment process. Supports the selection of staff with the qualifications necessary for successful performance. Recommend recruitment resources and strategies. Ensures that the recruitment process and associated records are maintained in compliance with regulatory requirements.
- Support proactive strategies for responding to employee relation investigations.
- Assist with the management of administrative and operational systems for maintaining all employment and personnel records in compliance with legal requirements; ensures the proper maintenance and retention of all personnel records and produces records requested by auditors.

- Bachelor’s degree in related field preferred; or year-over-year equivalent experience.
- Minimum 4 years of experience performing varied, complex and confidential human resources and/or administrative support to executive-level managers.
- Proficient with Microsoft Office, including Outlook, Publisher, Excel and Word.
- Highly efficient, organized and resourceful.
- Flexible to work irregular hours occasionally.
- Ability to work effectively in teams to meet goals and objectives.
- Ability to handle multiple tasks simultaneously with ease.
- Ability to logically plan and organize work to be performed in the context of short and long term goals and priorities.
- Strong interpersonal skills with the ability to communicate diplomatically with executives and individuals both within and outside the organization and demonstrate proper professional conduct.
- Strong decision-making skills and uses initiative and independent judgment to resolve issues within the scope of assigned responsibilities.

Compensation: Starting at $52,000 annually. Eligible for full-time benefits after the first day of the month following 60 days of employment. Benefits include Medical, Dental, Vision, Life and Disability Insurance, 401(k), Paid Holidays, Paid Time Off and Employee Assistance Program. Employment with BGCSNV may qualify for Public Service Loan Forgiveness (PSLF).
