Overview: Coordinates administrative and operational systems and procedures to support Club achievement of program and fundraising goals. Serves as a liaison with vendors and suppliers to maintain equipment and supplies. Maintains office calendar of events and deadlines and monitors workflow. Assists staff in office procedures and equipment use. Maintains mail and prepares deposits. Serve as key liaison between the Executive Director and key internal and external partners, clients, institutions and other stakeholders, providing excellent customer service.
Responsibilities:
- Ensure appropriate maintenance and operations of the physical properties and equipment of the Club, including the use of facilities by outside groups.
- Ensure adherence to appropriate standards and procedures.
- Maintains mail and prepares deposits according to standards and controls.
- Ensure a clean, healthy, safe, positive environment is created and maintained, producing a sense of physical and emotional safety.
- Ensure that an attractive, welcoming, fun environment is created and maintained.
- Assist Club Directors to ensure that facilities, equipment and supplies are maintained.
- Point person of office technology setup and end-user training and support including laptops, apps, phones, video conferences, email, Wi-Fi, computer setup, etc.
- Tracks and sorts (electronically) incoming resumes; maintains tracking spreadsheets of candidates for open positions.
- Schedules interviews, makes travel arrangements, maintains candidate files, prepares and distributes materials for interviews.
- Coordinates onboarding for new employees – initiates contact with manager, employee and IT to obtain information, computer, keys, business cards, etc., and develops onboarding schedules.
- Purchases supplies and equipment, in compliance with child safety and other relevant standards and procedures.
- Exercise authority in problems relating to facility safety issues.
- Assume other duties as assigned.
Qualifications:
- High school diploma required; bachelor’s degree from an accredited institution of higher education preferred
- Combination of education, training and experience equivalent to three years in office administration role
- Demonstrated knowledge of processes related to office management
- Understanding of procurement standards and procedures
- Strong computer literacy, particularly Microsoft Office
- Strong communication skills, both verbal and written

Pay: $20.00 - $24.00 per hour
Expected hours: 37.5 per week
