POSITION OVERVIEW:

The Finance Director is responsible for overseeing and managing various financial, operational, and administrative functions for the Boys & Girls Clubs of the Columbia Basin. This role ensures the accurate processing, tracking, and reporting of all financial transactions, works closely with external accounting professionals, and supports the organization’s financial health through effective budgeting, payroll, and compliance with regulatory requirements. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work both independently and collaboratively in a fast-paced environment.

KEY RESPONSIBILITIES:

Financial Management

  • Process and record all assigned financial transactions in QuickBooks, ensuring accuracy and compliance with accounting principles. Currently working directly with contracted Accountant at CLA.
  • Prepare and review monthly financial statements, providing clear, concise reports to the Executive Director and Board of Directors.
  • Collaborate with external accountants to ensure timely and accurate preparation of tax filings and audit documentation.
  • Oversee the tracking and reporting of grant expenses, ensuring compliance with grant requirements and proper allocation of funds.

Financial Reporting & Compliance

  • Prepare and submit all tax filings, working with external auditors to ensure compliance with federal and state tax laws.
  • Assist with the preparation for annual audits, providing documentation and responding to inquiries as needed.
  • Ensure all financial documentation and records are maintained and organized for easy retrieval and compliance purposes.

Payroll Administration

  • Administer all payroll functions, including timekeeping, employee deductions, and benefits.
  • Champion PayCor and support and train all organization employees in payroll, onboarding, documents, benefits, and required tax information. Aid in the onboarding process for new hires.
  • Ensure payroll is processed accurately and in a timely manner, complying with federal and state payroll regulations.
  • Maintain confidential employee payroll records.

Office Assistant(s) Supervision

  • Supervise front desk Office Assistant position(s), manage functionality of Office Assistant responsibilities, customer service, and front desk/telephone coverage.
  • Maintain an accurate and daily membership database, frequently reviewing for data integrity, including required documents.
  • Process registrations & payments received from club members, as necessary.
  • Oversee and direct front desk Office Assistant position(s) in the areas of membership billing and delinquent account collection, and internal and external communications.
  • Ensure scanning and filing are accurately and timely accomplished.

Operational Support

  • Support the development and management of the annual budget, working closely with the Executive Director and other department heads.
  • Provide financial insight and recommendations to support strategic decision-making and operational improvements.
  • Assist with the preparation and filing of any necessary documentation, Champion PayCor and support and train all organization employees in payroll, onboarding, documents, benefits, and required tax information. Review and process payroll on designated pay dates. Aid in the onboarding process for new hires, reports or forms related to grants, fundraising, or other financial obligations.

General Administrative Support

  • Perform other duties as assigned, including managing vendor relationships, processing invoices, and supporting office operations.
  • Ensure that financial procedures and systems are in place and adhered to, continuously identifying opportunities for efficiency improvements.

EDUCATION AND EXPERIENCE REQUIRED:

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Minimum of 3 years of experience in financial management, preferably in a nonprofit or similar organizational setting.
  • Proficiency in QuickBooks or other accounting software.
  • Strong knowledge of payroll processing and tax filings.
  • Experience working with external accountants and auditors.

SKILLS AND ABILITIES:

  • Excellent attention to detail with a high degree of accuracy.
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • Knowledge of nonprofit financial regulations, grant management, and compliance is a plus.

This position is full-time, with occasional evening or weekend work required for meetings or events.

The Finance Director will primarily work from the Boys & Girls Clubs office but may be required to travel to other locations as needed.

· Must be able to stand and sit for a large portion of the workday.

· Have the ability to lift boxes of supplies, up to 20 pounds.

· Create no safety or work hazards while on the premises.
