The Boys & Girls Clubs of the Red River Valley provides before-and after-school, all-day, and summer youth development programming to youth aged 5 to 17 years old in grades K through 12. We provide youth a safe place to learn and grow, ongoing relationships with caring mentors, life enhancing programs, character development, hope, and opportunity.
What We Do:
The Office Support Specialist is responsible for supporting the financial and administrative functions of the Boys & Girls Clubs of the Red River Valley. This role involves managing essential tasks such as: assisting with family schedules, billing, and payments, ensuring accurate and timely reporting, and excellent customer service. This position plays a vital role in fostering collaborative relationships with internal staff and external partners to support the organization’s financial health and operational success.
Schedule and Hours: Monday-Friday, 9am-6pm
Primary Responsibilities and Activities:
- Demonstrate the highest standards of individual conduct, personal accountability, integrity, trustworthiness, confidentiality, fair dealings, considerations of the rights of others, and the highest principles of good business relationships.
- Collaborate with the Accounting and Scheduling & Registration Departments on key functions, including maintaining and updating family accounts, grant reporting, and activity tracking to align with organizational financial goals.
- Assist with managing and reporting for Federal and State grant opportunities, ensuring accuracy and timeliness while delivering excellent customer service.
- Plan, organize, and manage office services such as the maintenance of children’s records to support efficient administration.
- Use strong record-keeping skills to maintain accurate and efficient documentation and filing systems.
- Develop familiarity with Boys & Girls Clubs programs and services, as well as any laws and regulations affecting the organization’s work, ensuring compliance.
- Prepare and organize reports, memos, letters, and responses to routine inquiries, ensuring professionalism and compliance with company procedures.
Position Requirements:
- Degree from a post-secondary education institution is preferred.
- High attention to detail and excellent customer service is required.
- Knowledge of Boys & Girls Club operations or experience with grant funding and the financial process is desirable.
- Proficiency in current software platforms School Care Works and Vision, in addition to databases, spreadsheets, and word processing applications; and/or ability to quickly learn and effectively use these and additional software programs.
- Effective communication, ensuring clarity and conciseness in both written and verbal interactions.
Physical and Mental Requirements:
- Ability to perform work in an office setting as well as in a highly interactive and emotionally and physically stimulating environment.
- Required to stand, walk, and sit. Able to use hands and fingers on a (computer) keyboard and other office equipment.
- Occasionally lift and/or move up to 25 pounds.
- Travel between club sites may be required. Must have a reliable and accessible mode of transportation to commute occasionally between club sites.
