JOB SUMMARY:
This is a shared position that works within the Commissioners department and as needed in the Elections department. Some knowledge of general accounting principles and practices. Must possess math skills, customer service, and organizational skills. A working knowledge of Microsoft programs and computer proficiency. Detail-orientated, accurate, and works well in a team environment. Must be able to lift 50 lbs. during busy election periods. Performs a variety of administrative duties in the County Commissioners’ office; does related work as required.
DISTINGUISHING FEATURES OF THE CLASS:
This is an Administrative position in the office of the County Commissioners; it involves frequent detailed duties of an administrative nature with a wide and varied scope. The primary responsibility is public contact within the County Commissioners’ office.
The work also involves matters of a confidential nature. The employee is required to be familiar with all phases of County government. The employee frequently works with considerable independence of action in preparing routine correspondence, giving information, receiving complaints and performing other public contact work. The employee is under the supervision of the Chief Clerk to the County Commissioners who gives general instructions on assignments.
JOB FUNCTIONS:
Commissioner’s office
Serves as receptionist for Commissioner Office;
Assists Commissioners and staff;
Answers telephones; direct calls to correct individual or department;
Keeps records of all county vehicles, license information and insurance. Wex, and Enterprise invoices and statements.
Designs, writes and provides photographs for the county newsletter.
Orders office supplies for all county offices.
Prepares and handles correspondence;
Opens, sorts, and distributes mail;
Track monthly totals of copy machines and send to Copy Source;
Filing;
Log shipments from UPS, FED EX, and FED EX Ground;
Track mail machine funds, and report totals monthly to Accounting;
Schedule county park pavilions;
Collect money for parks and deposit in the Treasurer’s office;
Schedule community service;
Create special occasion certificates;
Administer County Food Pantries- orders food, yearly contracts, expenses, and data reports to the state.
Completes purchase orders in accounting system for utilities and other reimbursements
Assist in the Election office as needed.
Performs other duties as assigned.
PHYSICAL AND MENTAL REQUIREMENTS:
Must have the ability to record, convey, and present information, explain procedures, and follow instructions. Must be able to sit for long periods with frequent periods of standing, walking, and occasional twisting, reaching, pulling, and pushing required for obtaining files, doing inspections or other job duties. Dexterity requirements range from simple to complex movements of fingers/hands, legs/feet, or torso to carry out job duties. Sedentary work with occasional lifting of weighs up to 50 pounds. Must demonstrate emotional stability. Ability to cope with physical and mental stress of the position. Must be able to pay close attention to detail and concentrate on work.
REQUIRED KNOWLEDGE, SKILLS and ABILITIES:
Thorough knowledge of modern office practices and procedures, business English, spelling and commercial arithmetic. Thorough knowledge of the operations, functions, and scope of authority of County departments and offices as related to the handling and disposition of complaints, requests for information and delegated administrative details. The ability to make minor decisions in accordance with the laws, ordinances, regulations and departmental policies and procedures. Ability to prepare effective correspondence on routine matters and to perform routine office management details with only general supervision. Ability to maintain effective working relationships with other employees and the public. Skilled in the taking and transcribing of dictation and in the operation of a computer with Microsoft products. Sound tact, courtesy, and good judgment.
MINIMUM EXPERIENCE and TRAINING:
Experience in clerical and administrative work with progressive responsible. Completion of a College two-year degree, including or supplemented by courses in computer, word processing and business practices; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
