This role requires in-office presence at our Washington, DC, office five days a week.

Position Purpose

The Office Coordinator will oversee daily operations, coordinate administrative activities, and maintain workplace efficiency. They will also support B&D’s Information Technology, Human Resources, Marketing, Learning and Development, and Operations departments, assisting leadership with numerous responsibilities that leverage their time and talent. The individual will have a keen eye for detail, exceptional organizational skills, and a proactive mindset to anticipate and address Brailsford & Dunlavey, Inc. (B&D) 's evolving needs. Building and maintaining positive relationships with employees, supporting their well-being, and contributing to B&D’s thriving culture will be central to success in this role.

Position Responsibilities

DC Office Administration:

  • Ensure timely responses to all inbound phone calls, e-mails, and faxes to the firm’s general numbers and addresses.
  • Meet and greet visitors to the DC office.
  • Route incoming mail and packages to appropriate employees in a timely fashion.
  • Assist employees with the shipment of documents via B&D’s approved vendors.
  • Administer kitchen and office supplies and protective equipment inventories for offices; coordinate with suppliers and vendors as needed; and monitor invoices for accuracy.
  • Maintain project and functional documents in the appropriate Box folders and files.
  • Monitor the DC office environment to ensure facilities and equipment are working as required and troubleshoot as necessary with property managers and building engineers.
  • Act as a liaison with property management for work orders, housekeeping, and other facility-related issues.
  • Maintain B&D’s leasing database to ensure accurate, up-to-date records of lease commitments and alert management to key dates and obligations.
  • Administer and maintain the B&D office activation program, focusing on increasing employee engagement in the physical office environment.

Regional Office Coordination:

  • Collaborate with regional office employees to assist in office management.
  • Work with B&D’s designated point of contact at each location to ensure smooth office operations.
  • Assist with ordering office and kitchen supplies in coordination with the regional office contact; monitor invoices for accuracy and appropriate expenditures.
  • Maintain updated information on regional facilities and ensure compliance with lease agreements.
  • Support property management engagements, including work orders, access control, parking, maintenance, and repairs as needed.

Technical Liaison for Remote Communication Tools:

  • Serve as the primary technical liaison for all remote communication tools.
  • Act as a subject matter expert on remote meeting software and hardware.
  • Assist with scheduling and managing meetings as needed.
  • Conduct training sessions to promote best practices for remote communication tools.

Support for Functional Teams

  • Schedule activities, including meetings and performance reviews, and monitoring changes as needed.
  • Develop and manage correspondence and documents as departmental leaders request.
  • Assist with new employee orientation and onboarding coordination as requested.
  • Conduct research on business topics as needed.
  • Support marketing proposal development and delivery as needed.
  • Participate in functional teams’ planning and coordination meetings as appropriate.
  • Handle special projects as requested.

Support Collaboration Across Functional Teams and Project Spheres

  • Work with operations managers to facilitate timely and accurate communication between project spheres and functional teams.
  • Notify leadership of potential issues or concerns that may arise.
  • Assist operations managers with sphere-related administrative activities.
  • Serve as a resource for project employees needing support with functional tasks.

Position Requirements

  • Associate’s degree; bachelor’s degree preferred.
  • Two years experience working in an office environment or customer service role.
  • Intermediate-level experience using Microsoft Office suite applications (Word, Excel, PowerPoint, and Outlook).
  • Familiarity with Box or other cloud-based file management systems.
  • Strong organizational skills with a team-oriented mindset.
  • Willingness to learn quickly and excel in a fast-paced environment.
  • Ability to take initiative and be proactive in all job areas.
  • Ability to prioritize multiple tasks and/or projects.
  • Excellent attention to detail.
  • Effective communicator (writing and speaking).
  • Self-starter who works well with limited direction.
  • Excellent internal customer service orientation.

The target base annual salary range for this role is currently $55,000-65,000. Pay scales are determined by role, level, location, and alignment with market data. Individual pay is determined through interviews and an assessment of several factors unique to each candidate, including but not limited to job-related skills, relevant education, and experience, certifications, abilities of the candidate, and pay relative to other team members.
