This position plays a pivotal role in providing excellent patient care services through balancing the operational/administrative needs of the clinic, maintaining excellent patient care coordination, and also administrating EEG procedures and MeRT Treatments on an as needed basis. This role requires attention to detail, autonomy/self-discipline, a positive/can-do attitude, consistent and reliable follow through, and ability to multitask. This lead position is conducted mainly through the front office, but willing and able to step in as needed/where needed, to ensure the smooth running of the clinic day-to-day functions and patient care process. This role requires skilled compassion and understanding, while navigating and providing care to mental health/brain and behavioral health patients.
Primary Responsibilities:
- Triage incoming calls and managing new leads, scheduling complimentary in-person consultations or phone consultations, helping existing patients over the phone.
- Assuming patient care coordinator role and help track leads and set up new patients.
- Collecting timely payments, verify billing, making sure patient paperwork is complete, and checking schedule accuracy/synchronicity throughout multiple platforms. (Simple Practice, Google calendar, CRM, etc.).
- Assist with managing physician schedules, consistent communication with providers, and executing their needs.
- Responsible for monitoring patient care processes during treatment, projecting program extensions or pauses, maintaining proactive communication with patients to strategize best practices.
- Keeping detailed notes in EMR, CRM, pertaining to patient care, office alerts, or any other information deemed noteworthy for Attending Physician/office staff.
- Performs/administers all EEG procedures.
- Performs/administers all MeRT treatments.
- Maintain accurate medical progress notes/charting in EMR system after each appointment.
- Keep detailed and accurate notes pertaining to patient care, and anything noteworthy to add to patient file for Attending Physician/office staff to have access to.
- Provide and log patient updates and treatments notes for weekly meetings/check-ins with Attending Physicians.
- Sanitize and clean devices/equipment after every use.
- Participate in active communication and relay any pertinent information to Office Manager/Office Lead/Attending Physician on any patient flags and/or additionally any patient success/progress for testimonials or shared experience platforms.
- Relay inventory or supply needs to Office Manager/Office Lead for EEG/MeRT devices/equipment.
- Stay up-to-date with WaveNeuro education and resources.
- Help facilitate strong patient relationships/results through communication, education, and trust.
- Able and willing to support patient needs while in the clinic (including, but not limited to: supported lifts from seated position, helping to stabilize to standing position, assisting ASD child, walking patient to main building door, etc).
