The Associate Manager, Accounts Payable is responsible for overseeing the organization's accounts payable operations, ensuring accurate and timely processing of invoices, payments, and expense reimbursements. This role involves managing general accounting functions while ensuring compliance with company policies and financial regulations. Additionally, the position includes financial reporting, reconciliations, and supporting audits.
This role requires strong technical skills, including proficiency in MIP Abila accounting systems, Microsoft Office 365, and advanced Microsoft Excel capabilities for spreadsheet management, data reporting, and administration. Experience in nonprofit accounting is a plus. The ideal candidate is detail-oriented, analytical, and comfortable working in a hybrid environment.
Requirements
PRIMARY RESPONSIBILITIES:
Accounts Payable & Expense Management Responsibilities (60%)
· Oversee the accounts payable process, ensuring timely invoice processing, approvals, and payments.
· Process and code invoices, issue checks, initiate wire transfers, and maintain financial documentation.
· Manage company credit cards, track expenses, match receipts, and import data into the accounting system.
· Process employee and AmeriCorps member reimbursements, ensuring policy compliance.
· Handle scholarship payments, direct deposits, and maintain accurate reporting records.
· Track IT purchases, approve supply orders, and manage copier leases and cleaning contracts.
· Assist in preparing annual Forms 1099 and implement process improvements to enhance efficiency.
General Accounting Functions and Financial Management (20%)
· Prepare and record journal entries ensuring proper fund and department allocation.
· Reconcile accounts, resolve discrepancies, and support closing processes.
· Oversee accounts payable reports and assist with grant budgeting and reporting.
· Prepare audit schedules, provide documentation, and respond to audit inquiries.
Systems & Data Management (10%)
· Manage financial data and reporting processes to ensure accuracy, efficiency, and compliance within accounting systems.
· Oversee the development and enhancement of financial tracking and reporting tools, utilizing Microsoft Excel and other data visualization platforms.
Special Events Assistance (10%)
· Support financial operations for organizational events.
· Assist with data entry, ticket sales, registration, and checkout.

QUALIFICATIONS:
Minimum Qualifications (Required)
· Some college coursework completed in Accounting, Finance, Business Administration, or a related field, with a foundational understanding of basic accounting principles and practices.
· 3 years of experience in accounting, accounts payable, payroll, or financial operations.
· Proficiency in written and spoken English.
· Bachelor’s degree (preferred).
· 5 years of experience in accounting, accounts payable, or financial management (preferred).
· Proficiency in spoken Spanish and/or Haitian Creole (preferred).
· Experience in the non-profit sector (preferred).
WORKING CONDITIONS OR EXPECTATIONS
Most of the work is performed in regular office conditions with some flexibility for remote or hybrid work. Travel to other Branches sites or meetings is required. Additionally, evening and some weekend work might be needed. Reliable transportation is required to fulfill normal duties. Located in Miami Dade County.

Salary : $45,000 - $55,000
